Note: Unless you were already in contact with JVP Staff to finish the chapter charter, we are currently having new and re-emering groups sign as Pods.
Update 11/2023:
Due to high level of current interest and staff capacity, we are only chartering new and re-emerging places as pods at this time, and will revisit chartering full chapters at a later date. For those places who meet the criteria for and are interested in being a pod, please check out the Pod Charter here.
Pods interested in becoming chapters at a later date are highly encouraged to check out these core chapter charter reference documents:
This checklist details the steps of completing the chapter charter process.
Schedule a 60-90 minute meeting with your Chapter’s Leadership to discuss and fill out your Charter
Determine if your chapter would like your national Chapter Organizer to facilitate your charter signing process. If yes, coordinate with them and get availability from your leaders upfront! (Pro tip: Lettucemeet is a great free tool for getting availability)
If you don’t want a national Chapter Organizer to help you complete the charter, make a plan of who will facilitate the charter reflection process. Be sure to designate someone from your chapter to take notes in the reflection boxes.
Ahead of the discussion, send the Charter and encourage folks to read through it and annotate it with observations & questions beforehand if they can.
Make sure 4-20+ Leaders can join the discussion (Note: all of your chapter’s top leaders are required to be part of the charter. If your chapter doesn’t have 4 people, a minimum of 2 will be accepted alongside a plan to bring more people in over the coming year.)
Double-check that each leader is a member of JVP National in-good-standing and is current on dues. Leaders can check if their dues are current at this link. If you want support checking on leaders’ national membership, email D@jvp.org
Before the meeting, have each leader fill out their contact information at this link (Note: If this info isn’t submitted upfront, you won’t be able to submit your charter)
Update contact info, e-sign, and submit your completed charter
Once you've finished discussing, you will be prompted to type your leaders’ names as an e-signature, at the bottom of the charter.
Confirm that each leader filled out their contact information at this link (Note: If this info isn’t submitted upfront, you won’t be able to submit your charter)
Start building a relationship with your Chapter Organizer! 🎉
Once your charter is signed, meet with your Chapter Organizer to debrief, discuss next steps, and hear what support will be most needed in reaching your chapter’s goals! If your Chapter Organizer co-facilitated your charter meeting, you are not required to schedule a follow-up meeting, but you are welcome to-- to keep building a relationship, setting goals, and getting support.
