[MY] WORK ARRANGEMENT POLICY MOVING FORWARD JUNE - AUG 2020
Dear All iStore iSend Employee [MY Team]
In our continuous effort to reduce the risk of COVID-19 infection and our direction to embrace change moving forward, the Company has decided to adopt the following Policy, which will come into effect from 9th June until 31st August 2020.
WORKING REMOTELY (FROM HOME OR OTHER LOCATION)
Applicable to employees who have been working remotely during the MCO namely from Finance, Gateway, HR, New Initiative, Product, Sales and Tech.
The above employees will continue to do so with the following guidelines.
Observe working hours and etiquette (refer to Announcement on 24th March)
Daily individual ‘check-in’ in team whatsApp group
Weekly video-conference (VC) with team - chaired by HOD
Monthly HODs video conference - chaired by GM
Monthly CEO’s town-hall VC with everyone (HOD to reinforce relevant topics in the following week VC with individual team)
Quarterly Team get-together (VC) – HOD to host VC with team for socializing and engagement. (At least one team get-together can coincide with the CEO’s town-hall date each month.)
Notes:
Employees working remotely need to clear their desks to facilitate ‘hot-desk’ implementation
HOD to submit a monthly time-table for employees who will check-in at the office periodically to HR via google form before the beginning of new month.
HOD to submit a list via google form for employees/visitors who will come to the office on an ad-hoc basis at least 3 days before the event.

WORKING ON FIXED SHIFT
Applicable to employees of the Gateway team only who are working on the following schedule.
Day shift : 9:00 a.m. to 6:00 p.m. (Monday to Friday)
Evening shift : 12:00 p.m. to 9:00 p.m. (Monday to Friday)
Saturday : 9:00 a.m. to 1:00 p.m. (alternate)
* Subject to the operating hours above, HOD may stagger different start and end times for some employees to avoid overcrowding at work place.
Guidelines
The shift schedule is fixed and will be reviewed every quarterly (HOD to submit list of employees with schedule to HR)
Weekly meeting via VC or small group (max 5 with social distancing) - chaired by HOD
Monthly CEO’s town-hall VC with everyone (HOD to reinforce relevant topics in the following week VC with team or small group max 5 with social distancing)
WORKING ON NORMAL ARRANGEMENT (ON-SITE & NORMAL HOURS)
In line with the nature of work, both Operations and CRT teams will continue to operate on site and observe normal working hours.
As a gentle reminder to everyone working on site and in the office either routinely or ad-hoc, please follow the existing safety and health guidelines, for example.
Avoid socializing, meeting in large groups
Keep 1 metre social distancing
Regularly clean and maintain common spaces and equipment especially during changeovers
Wash hands regularly
Wear face mask at appropriate times and place i.e. meeting people
Keep record of meeting attendance for traceability purposes
Take daily temperature before entering premise. (Anyone with temperature 38°C and above is required to seek medical assistance; admission shall be prohibited.
If you exhibit any of the Covid-19 symptoms:
Inform HR immediately;
Go to the nearest Covid-19 panel hospitals to be tested;
Self-quarantine and stay at home for 14 days.
The above arrangements are agreed upon after taking into consideration all HODs inputs. Let’s ensure smooth implementation throughout the company as we continue to drive performance for results, while taking care of our people. [MY] UPDATE ON WORK ARRANGEMENT UNDER CONDITIONAL MOVEMENT CONTROL ORDER [CMCO 2.0]
Dear All iStore iSend Employee [MY Team],
In view of the latest announcement on Conditional Movement Control Order (CMCO 2.0) by the Prime Minister of Malaysia, on 10th May 2020, that has been Extended till 9th June 2020. Hence, Company will continue to observe CMCO till 9th June for departments which have been placed on Work-from-Home arrangements.
Besides, we would like to advise, everyone reporting to work regardless office or warehouses (including interns, part-timers, foreign workers and security guards) are required to have their Temperature Taken Daily. Anyone with temperature 38°C and above are NOT allowed to go in and advised to seek medical assistance, stay home and rest for recovery.
The place for temperature taking is as below: -
1. HQ Puchong – Guard House
2. TPG1 – Guard House
3. TPG2 – Assembly Area

Due to the short notice, kindly note that the Company will continue to observe MCO 4.0 for departments which have been placed on Work-from-Home arrangements, and will be required to resume work back at office on 11th May 2020. More details of the SOPs on work arrangements post-MCO will be shared next Wednesday.

Effective May 2020 the entire payroll computation and payment processing function has been outsourced to external 3rd party.

ATTENDANCE
Attendance records with missing hours/days where leave application is missing from kakitangan or leave application not approved by HOD by the payroll cut-off date is treated as UNPAID LEAVE by the 3rd party payroll vendor.
Exemption only applicable to Sales, Gateway Commercial, Team Lead, HODs including Asst. HODs, C-level management team who are expected to travel outside of office for clients' meetings.
UNPAID LEAVE will not be reimbursed. Please make sure you submit in kakitangan immediately.
Full-time Local
TPG1 & TPG2 warehouse attendance records, HOD/Supervisor to email to payroll@istoreisend.com before deadline.
PCH attendance will be emailed by Fadhillah.
Foreign Worker (FW)

Submissions are to be made by HODs.
Only approved OT claim (signed) submitted ON TIME to payroll@istoreisend.com will be processed.
Late submissions (after deadline) will only be paid in next payroll cycle.
No submission, no pay out at all.
