SELECTION PROCESS
All parents will be emailed a registration form in February, 2025.
Students will choose three programmes and rank them based on their preferences.
We will try our best to give students their number one choice; unfortunately, this is not always possible. Criteria for placing students in programmes include grade, course selection, gender and age.
If you have more than one child in Grades 8-11, please fill out a form for each of them.
Students will be informed of which programme they are in at the start of March. Students have a short window in which they can request changes.
Once the programmes have been determined, further information will be sent home. You must closely follow ALL instructions so that we can keep our commitments regarding these trips for our students and faculty.
PROGRAMMES' SIZE
Programmes will range in size from 10-36 student participants. Programmes that do not have enough students registered might be canceled. Students registered for canceled programmes will be allowed to register for other programmes.
PROGRAMMES' ITINERARY
Programmes' itineraries are preliminary at this point in the process and are subject to change. The detailed itinerary and updated packing list for each trip will be available in the second half of August.
REQUIRED DOCUMENTATION/OBLIGATIONS
To register, all forms must be completed/signed:
1. Registration Form - online sign up - February-March
2. Trip payment - complete trip payment will be required March-April 2025 (please note the date stated on the invoice).
5. VISA (if applicable). Each student is responsible for acquiring the necessary visas on their own.
PAYMENT PROCEDURE
Payments will be required by March-April. Payments will need to be settled within two weeks from the receipt of the invoice. The exact date will be stated on the invoice. If a trip change is requested after bookings have been made, the family will need to carry all the costs that cannot be recovered. The school reserves the right to drop students from the trip (at the school's discretion) if the payments are not settled in time.
NOTE: ALL TRIP COSTS ARE SUBJECT TO CHANGE DEPENDING ON UNFORESEEN CIRCUMSTANCES, VENDOR PRICE CHANGES AND SCHEDULING. IF THIS HAPPENS, ALL PRICING WILL BE ADJUSTED, AND ALL STUDENTS AND PARENTS WILL BE NOTIFIED IMMEDIATELY OF SUCH CHANGES IN THEIR ACCOUNT BALANCES.
SAFETY AND SECURITY
The WWW programme expose students to a degree of risk that is atypical of regular on-campus classes. While the trips involving travel, physical activity, and exploration are not risk-free, safety is of paramount importance and is emphasized as courses are planned and take place.
Teachers and Advisors are briefed about what to do in an emergency and have the authority to make decisions, change the itinerary, or do whatever else is necessary to ensure the safety of the students.
You can be assured that the school takes the safety of the students and advisors seriously. If conditions warrant, a trip may be changed or canceled due to concerns about safety, political instability, or security. In these situations, ISP cannot guarantee refunds.
MEDICAL/INSURANCE
Health & Insurance Policy for WWW Trips
Parents are required to update their child's health information with the Nurse’s Office before departure. The school and trip advisors must be informed of any medical conditions, physical limitations, allergies, and medications the student will take during the trip.
For information about recommended vaccinations or boosters for a specific country, parents should consult with a physician at least six weeks before departure. If a student is participating in an outdoor activity within the Czech Republic, it is strongly advised that they are up to date on their Tick-borne Encephalitis vaccinations.
Trip advisors will carry a first aid kit with essential medical supplies and have access to an emergency contact number for medical advice outside of the country.
Trip Insurance & Cancellation Policy
For international trips, insurance coverage is included in the trip fee and does not need to be purchased separately. However, the insurance company has updated its requirements for claims related to trip cancellations due to illness:
A doctor’s note is required, confirming that the student is unable to participate.
The family must pay the school invoice as usual.
The receipt of payment and the doctor’s note must be submitted to Adela Pitrova (apitrova@isp.cz), who will process the insurance claim.
Important: If a student cancels their trip at the last minute for non-medical reasons, they will not be eligible for a refund.

PASSPORT AND VISA REQUIREMENTS
For international trips, it is recommended to have a passport with at least six months of validity remaining; however, the required length of the passport's validity differs in each country.
Visas may be required depending on the student’s passport and the trip selected. The visa cost is NOT included in the trip fees, and the visa price may vary. The school will provide as much information as possible for obtaining the necessary visas and assist as much as possible; however, obtaining such visas is the parent's responsibility.
