OnCorps is the timekeeping system for Iowa AmeriCorps programs. Timesheets need to be submitted and approved two times per month. Each month has two pay periods, the 1st-15th and the 16th-the last day of the month. Members need to submit their portion of the timesheet one day after the end of each pay period. Supervisors then have two days to approve the timesheets. Pay dates are on the 15th and the last day of each month.
Your time sheet is considered a federal document, and any misrepresentation is considered federal fraud. Your time sheet should be completed daily to ensure accuracy.
Accessing your account
Go to ia.oncorpsreports.com > Select 2024-2025 from the dropdown men and click submit > Scroll down to RedTails LEAD AmeriCorps and click on AmeriCorps Member
Usernames and Passwords:
Usernames are a combination of your legal first name and your legal last name. Example: Jane Doe is jane.doe
Passwords are temporarily set for the first login. For security, you need to change your password after logging in the first time.
Completing a time sheet
Sign into OnCorps using the links at the top of the page.
After you login, you'll see a Welcome screen. Click on time sheet.
Select the time period for which you would like to fill out your time sheet.
Select both your Site Supervisor and Program Director to receive your time sheet.
Enter your hours served into the correct date, making sure your time in and out is accurate.
Select the appropriate activity using the dropdown menu.
Leave the description blank.
Select the appropriate site where you served.
Click Save at the bottom.
You must submit your hours to the nearest 15 minutes.
45 Minutes = 0.75; 30 Minutes = 0.5; 15 Minutes = 0.25
Record your hours at the end of every day. You may not enter hours in your timesheet before they are actually served.
Types of hours counting toward your service (Service Hours, Training, and Fundraising Activities)
Service Hours: This will be the majority of the hours served
Training: Include all time when you are being trained on something; cannot exceed 20% of your total maximum hours
Fundraising Activities: This type activity is allowable only when approved in advance by the Program Coordinator
Types of hours that do not count toward your service (Unplanned Leave Time, Planned Leave Time, Holiday)
Unplanned Leave Time: You are absent but could not request time off in advance, such as when you are sick. You need to notify your site supervisor you will be gone as soon as possible.
An unplanned absence of three or more days from your service will require a doctor's note.
Planned Leave Time: You request and receive your site supervisor's approval to be gone at least one day before you are absent
Holiday: Days you are excused for College approved holidays are identified in your Member Service Agreement.
If you serve hours during any College holiday, this must be pre-approved by your Site Supervisor and Program Coordinator prior to the holiday.
Submitting Your Time Sheet
You may not submit the time sheet before the last day of the pay period.
Sign your time sheet by clicking Authorize and Submit. Once you have submitted your time sheet you will not be able to edit it unless your Site Supervisor or Program Coordinator reject the time sheet. Both individuals will receive an email letting them know you have submitted your time sheet for review.
NOTE: A time sheet will not reflect actual service hours credited to the member until it is properly completed and approved by the Site Supervisor.
Taking time off
Members must inform their site supervisor in advance of any absence from their regular service schedule. Members should make every effort to maintain a regular service schedule found in their member service agreement. Personal appointments and time off should be scheduled around a set service schedule and holiday breaks. Members will be encouraged to stay on track to meet the minimum hours required per their service agreement. This should be checked each pay period on OnCorps. If the member fails to meet established service hour benchmarks, member supervisors and AmeriCorps program staff will meet with the member to provide support and guidance on ways to successfully complete their service hours. If the member continues to fail to meet established service hour benchmarks, they could be subject to progressive discipline, up to and including termination from service.
It is the member’s responsibility to review and submit their timesheet to their site supervisor twice monthly. Timesheets must be submitted after all service hours for the pay period are recorded and are due no later than one working day after the 15th and final day of each month. A member’s site supervisor is responsible for verifying the accuracy of and approving the member’s timesheet.
Checking Hours on OnCorps
In Order to stay on track with member hours, members and supervisors should regularly check the member accounts on OnCorps, which displays the required number of hours per week, the number of hours served on average, and the number of hours required for successful completion.
