Partner Registration Process

Over the last few years, Henry C. Lea Elementary School has developed and implemented a Partner Registration Process in order to ensure that every partner organization, partner program, and partner staff member or volunteer has completed mandatory processes required by the school’s Principal and Community Partnerships Coordinator, as well as the School District of Philadelphia.


This information is necessary for the following purposes:

  1. To ensure that all partner programming is formally registered with and approved by school leadership and the School District of Philadelphia.

  2. To ensure that partner programming is aligned with school goals and priorities.

  3. To ensure that all partner staff are adequately prepared to fulfill their role and responsibilities.

  4. To guarantee the safety and security of every member of the Lea community.

  5. To make information about partnerships easily accessible for the entire school community through our Partners @ Lea website, which can be accessed via Lea’s school website.

Every partner staff member must complete every step of the Partner Registration Process by the deadline before they will be permitted to facilitate any programming with Lea students, families, and/or staff.


10/1/2021 is the deadline for programs that operate across the entire school year or only during the fall semester (September to December), and 2/1/2022 is the deadline for programs that operate during the spring semester (January to June).


Additionally, Lea partners may not begin facilitating or operating partner programming until the Partner Registration Process deadline for each semester has passed. This provides the school and its partners with a period of a few weeks at the beginning of each semester to finalize the specifics of partner programming as well as confirm completion of every step of the Partner Registration Process by every member of partner staff.


NOTE: A small number of Lea partner programs begin operation before each semester’s deadline, but only with the express permission of the Principal.

The Partner Registration Process must be completed by every partner staff member depending on their role, as outlined below:


If you are a Partner Facilitator:

You are required to complete every step of the Partner Registration Process outlined in detail in the Partner Facilitator Checklist linked below.


A “partner facilitator” is an individual affiliated with a partner organization and/or program who is responsible for facilitating partner programming with program participants. Facilitators can include any number of categories or titles, including (but not limited to): program staff, teacher, instructor, intern, apprentice, mentor, tutor, coach, consultant, educator, and volunteer.


If you are a Partner Coordinator:

You are required to complete every step of the Partner Registration Process outlined in detail in the Partner Coordinator Checklist linked below.


A “partner coordinator” is an individual affiliated with a partner organization and/or program who is responsible for coordinating partner programming and supervising the partner facilitators who deliver that programming.

Every partner facilitator is required to complete each of the mandatory steps of Lea’s Partner Registration Process outlined in the Partner Facilitator Checklist by the deadline before they will be permitted to facilitate any programming with Lea students, families, and/or staff.

Coordinator Checklist

Clearance Guidelines

Obtaining and submitting background clearances is a mandatory requirement of the School District of Philadelphia’s Partner Onboarding Guide and School Partner Agreement process, as well as Lea’s Partner Registration Process.

Every partner facilitator, partner coordinator, and volunteer is required to follow Lea's guidelines for obtaining and submitting clearances outlined in Lea's Clearance Guidelines Manual.

Visitor Guidelines

While the District has its interim COVID-19 Visitor Protocol in place, our school-specific visitor protocols for Henry C. Lea Elementary School outlined in this Visitor Guidelines document will work in tandem with the District COVID-19 Visitor Protocol.


This protocol is stringent, but it was developed to ensure that the safety of students and staff remains our priority. These restrictions are based on the most current recommendations from the Center for Disease Control and Prevention (CDC), the Philadelphia Department of Public Health (PDPH), the Pennsylvania Department of Education (PDE), and other regulatory agencies.

Partner Handbook

The Lea Partner Handbook is an essential tool in the work that school stakeholders––students, families, school staff, partners, and community members––do together at Henry C. Lea Elementary School. It is a living document that outlines the policies, practices, and expectations that guide and govern partnerships at Lea, and which every partner organization and program is required to follow. Thus, reading the Lea Partner Handbook is a crucial first step for every individual who works in service to the Lea school community.


Reading the Lea Partner Handbook is a mandatory requirement of Lea’s Partner Registration Process, as all partner staff are required to read the Lea Partner Handbook before they will be permitted to facilitate and/or coordinate any programming with Lea students, families, and/or staff.

Partner Onboarding Guide

The School Partner Onboarding Guide was created by the School District of Philadelphia's Office of Strategic Partnerships as a resource guide to:


  1. Guide new and existing partners through relevant District policies and procedures.

  2. Help organizations understand the best ways to initiate relationships with schools that are the best match based on the needs of the school and partner.
