Electronic Visit Verification (EVV) is required by AHCCCS for all in-home caregiving visits. EVV verifies the start time, end time, and location of each visit to ensure accurate billing and quality care for our clients.
We use HHA Exchange for all EVV tracking.
1. EVV Mobile App (Preferred Method)
Caregivers may use a smartphone to clock in and clock out.

✔ Works even in low-signal areas (auto-uploads when connected)
Caregiver responsibilities:
Keep phone charged
Use their own phone or a dedicated work phone
Clock in and out at the client’s home
Follow the Care Plan tasks listed in the app
2. Client Home Phone (Landline)
If the client has a landline, the caregiver may use it to clock in/out by calling the HHA phone number.

✔ Phone number automatically verifies location
Important:
The client’s phone number must match the one listed in HHA Exchange.
3. EVV FOB Device
A small device placed in the client’s home that generates 8-digit codes for clock-in and clock-out.
✔ Works without phone service
✔ Works without internet
✔ Reliable for rural areas or homes with no phone
Caregiver enters the codes in HHA Exchange.
EVV is required for all AHCCCS Long-Term Care services
EVV protects clients by preventing incorrect billing
EVV does not track unrelated locations — it only verifies visits at the home
Caregivers must clock in/out at the home, not in the vehicle
If you or your caregiver are having EVV problems, call our office so our EVV Coordinator can correct the visit.
Always clock in/out on time at the client’s home
Failure to clock in/out delays payment and may affect employment
Notify the office immediately if:
Phone is lost or broken
App is not working
Client moves to a new home
Client gets a new phone number
You need a FOB placed at a home
Our EVV Coordinator will fix incorrect visits in HHA Exchange.
Our office will:
✔ Create the client profile in HHA Exchange
✔ Add the caregiver(s) to the schedule
✔ Choose the best EVV method (mobile, landline, FOB)
✔ Install FOBs in homes when needed
If the client needs help in Navajo, our In-Home Care Supervisor in White Cone can visit the home and explain EVV in Navajo.
❌ Missed clock-in/out
We review GPS, phone logs, and task notes to fix the visit.
❌ Client changed phone number
We update HHA Exchange immediately — caregivers must inform us.
❌ Caregiver forgot phone
Use landline or FOB if available, then notify office.
❌ Client moved homes
We update EVV location and place a new FOB if needed.
