Davis High School Band Booster Volunteer Job Descriptions
President:
Act as a liaison and ambassador between the Director, the Boosters, school administration, school staff, families involved in the music program, and the community. The President is responsible for overseeing all positions in the Band Booster organization. Attend the general meetings with an agenda and facilitate the meeting. Meet prior to the general meeting with the President, Vice President, Treasurer, and Secretary.
Vice President:
Works closely with the President and temporarily assumes the position of any Board member who might be absent and covers their responsibilities for that time period. Along with the President, the Vice President is responsible for overseeing Event Coordinator, Trip Coordinator, and the Event & Trip Committees activities. Attend the general meetings and assist the President in facilitating those meetings. Meet prior to the general meeting with the President, Vice President, Treasurer, and Secretary.
Treasurer:
The Treasurer is responsible for tracking the flow of money using a systematic bookkeeping system: Recording the money collected and tagging for future allocations and then depositing that money; Taking care of expense reimbursements and ensuring a positive balance in the account at all times; Preparing records at the end of the year for annual tax filing. In most years a CPA has been utilized. The goal for each cycle is to begin and end with the same balance. Along with the President, the Treasurer is responsible for overseeing Coconut Grove and the Fundraising Committee activities. Attend the general meetings with a Treasurer update prepared. Meet prior to the general meeting with the President, Vice President, Treasurer, and Secretary.
Secretary:
Recording the minutes of the general meetings and have those minutes completed before the next meeting for Board approval. If amendments are made to the minutes during a meeting, have the updated minutes to the Board members in a timely fashion. Along with the President, the Secretary is responsible for overseeing the Social Media Coordinator. Attend the general meetings and meet prior to the general meeting with the President, Vice President, Treasurer, and Secretary.
Coconut Grove Chair/Fundraising:
The chair is responsible for the planning and coordination of the Coconut Grove Fundraising event. They are also a member of the Fundraising Committee. Your Board liaisons are the President and the Treasurer. Attend the general meetings, possibly presenting updates specifically about Coconut Grove as the year unfolds.
Social Media Coordinator:
Maintain the Facebook Page and other social media platforms with information and photos from events. At times may update the Booster Web Page with support from the President and Secretary. Provide additional information through other media outlets when appropriate. Information will be provided by the Director and/or a Board member. This position can be held by a student if one of their parent/guardians acts as the Social Media Parent Monitor. Your Board liaisons are the President and the Secretary. Attend the general meetings.
Event Coordinator:
Doesn't actually plan the events ... just coordinates the logistics for the events. The Event Coordinator creates the sign-up genius pages for families to sign up to help at events. Events might include: Pep Band for a sporting event; concerts at the Brunelle Theater; parent drivers to an event, Coconut Grove, etc. The date, list of positions, and any important information needed will be provided by the Director, President or Vice President. After the sign-up genius is created, the coordinator forwards the link to the Director (courtesy copy to the President/Vice President) and then the Director will forward that link to all families. When the Coordinator receives that email to “all families”, they should check the link to be sure it is active. May also provide similar support for the Elementary music band programs. Your Board liaisons are the President and the Vice President. Attend the general meetings.
Trip Coordinator:
Doesn't actually plan the trip ... just coordinates the logistics of the trip. The Trip Coordinator acts as the point person and usually attends as a chaperone. Along with the Director and Board members the Trip Coordinator works to putting together all the details of the trip. In some years the Boosters have used an outside travel consultant for planning a trip, in some years the trip has been put together by the parents. The Trip Coordinator along with the Director and President will also put in motion the early groundwork for the following year’s trip. Some preliminary details may need to be in motion around 12-18 months in advance. Your Board liaisons are the President and the Vice President. Attend the general meetings, possibly presenting updates about the current trip as the year unfolds.
Fundraising Committee:
Looking for events, activities, or ideas that might raise funds for the organization and then helping to implement them. Look to serving on a subcommittee for the Coconut Grove Chair and/or working at that event. Your Board liaisons are the President and the Treasurer. Attend the general meetings.
Event & Trip Committee:
Members of the Event & Trip Committee take an active role when they can in supporting the events that come up during the year. This might include but is not limited to: attending Pep Band events, helping at the Brunelle Theater during a concert or a band review, helping support the Trip Coordinator for the upcoming trip (helping with logistics and/or attending the trip as a chaperone), helping support the Coconut Grove fundraiser, acting as a parent driver, etc. Your Board liaisons are the President and the Vice President. Attend the general meetings.
Social Media Parent Monitor:
If a student takes the role of Social Media Coordinator, then a Parent/Guardian monitors their child's postings on the Band Boosters social media platforms. Helps ensure that any postings are accurate and appropriate for the general public. If no student from the school is helping in this capacity an adult can take the role of Social Media Coordinator, and the Boosters would not have a Parent Monitor for that academic school year. Attend the general meetings.
