Roles are used to designate permissions to users within NOVA. A Role can be assigned to a user for a single project, an institution, or the entire website. Each specific role assigned to a user will give a defined set of permissions that dictate what a user can and cannot do.
You can see which Roles have been assigned to your user account within your NOVA Profile. From your profile screen, select "Roles" from your top toolbar. Here, you will see a comprehensive list of each Role you have been assigned within NOVA, organized in groups by Role Name.
In the above example, this user was assigned the Institution Fiscal Reporter role for various Funds and Institutions (e.g. SWP-R Fund for Inland Empire/Desert Institution). This role gives the user permission to edit and submit all fiscal reports for the listed Fund and Institution.
You may see that some Roles are assigned to a Fund and Institution, whereas others are assigned to a single Project within a Fund. Depending on which level your Role was set, you will have different access and permissions.
If you do not have proper access to a Fund or Institution, submit a New Access Request for assistance.
Assigned at the Institution level for any individual funding source in NOVA.
Roles at this level will grant permissions for all projects within the selected funding source.
Useful when you can identify employees who will be working with all projects within any funding source.
Example: An employee with the 'Institution Fiscal Reporter' role for SWP-Local will be able edit and submit fiscal reports for all SWP-Local projects.
Assigned at the Plan/Project level ('Contacts' tab) within any funding source in NOVA.
Roles at this level will only give the stated permissions for the singular plan/project that a person has been added to.
Useful when you are funding multiple programs/departments with separate organizational and decision-making procedures.
Example: An employee with the 'Project Lead Contact' role in the SWP-Local "Health" project can edit that project only. They will not be able to edit other SWP-Local projects.
