ONLINE READING AND CHECKING OF FORMS

In response to the Advisory made by the Department of Education dated March 17, 2020 and the DepEd Order 11 s. 2018 – Guidelines on the Preparation and Checking of School forms, Carlos P. Garcia High School in coordination with school principal, Mrs. Marivic B. Francisco conducted an online checking and reading of forms, specifically using the Grade 10 learner’s pertinent records. The said records are SF 1 (School Register), SF5 (Report on Promotion and Level of Proficiency), Summary of Grades and SF10 Learner's Permanent Academic Record (Formerly F137).Prior to that, School ICT coordinator and Class Adviser of Grade 10 Honesty Mr. Rhyan Loresco set up the Google Hangout / Meet which is offered free and part of the Google DepEd email suite. The platform was tested last March 21 together with Mrs. Francisco, Mr. Mark Niel Amande (Chairperson of Grade 10) and the Grade 10 class advisers –Lea Juadiong (Humility), Mary Ann Ruiz (Harmony) and Mrs. Arlene Cunanan (Humanity) to identify whether it can be used in checking and reading of students’ records just like what is usually done in school, that is before the government declared Luzon wide Enhanced Community Quarantine last March 16, 2020. Coordination with Mrs. Rebecca Kalaw, the PSDS of Congressional District III was also made regarding the plan and the strategy to use.Since it’s first time thing, some of the problems observed were lack of stable and unlimited internet connection at home of some teachers, fuzzy output from microphone and / or headset, absence of hardware resources, unfamiliarity in using the application and availability of teachers to participate since some of them are busy with household chores since everyone is working from home. Despite these difficulties, CPGHS Grade 10 advisers were able to conduct the dry run and established a better strategy to read and check the forms. Another contributing factor in choosing the most applicable software for this endeavor is the result of the dry run initiated by the Schools Division Office IT Officer Maria Cristina Marquez last March 22, 8 pm. Mrs. Marquez would like to determine which ICT platform is more practical and useful that can be utilized by each school in the Online Checking of Forms. With the help of other hardworking School ICT Coordinators - Mr. Sherwin Maningas (Juan Sumulong HS), Jerson Castillo (San Gabriel ES), Julius Villafuerte (Benigno S. Aquino Jr. ES), Helen Tan (Pura Kalaw ES) and supportive PSDS Joafy Marquez. From there, three possible applications were derived that can be used – TeamViewer, Google Hangout / Meet and FB Workplace Messenger’s Video / Call Conferencing. All of these applications we’re endorsed by the Schools Division Office in its Advisory released March 23, 2020. A tutorial on how to use Google Hangout Meet was published and distributed by Mr. Loresco to the teachers of CPGHS and other secondary schools in Congressional District III as requested.CPGHS is lucky enough to have competent and diligent teachers who were ready to face this challenge of working from home and utilizing the power of technology in our doing our tasks even online. These qualities enabled the conduct of a very first Online checking and reading of forms which happened last March 23, at exactly 9:00 a.m. Prior to this, the school ICT coordinator generated the meeting code in Google Hangout Meet and created a shared drive in his DepEd Google Drive account which will serve as a repository of all documents, (these documents were downloaded by each of the member of the School Checking Committee (SCC) as they took responsibility in paying attention to the Learners Reference Number (LRN), complete name, grades in each subject area and final average. The chairman also instructed the members of the SCC of the form that they are going to check, when everything is in place, the ICT coordinator presented the Summary of Grades of 10-Humility using the “present your screen” feature of Hangout Meet, while other class advisers are using their smartphones / tablets in inspecting each information being read. The same procedure was applied to section Harmony, Humanity and Honesty. The activity concluded at 11:40 am with Mrs. Francisco delivered her congratulatory remarks to the teachers for making this activity possible even during these challenging and crucial times. Meanwhile, reading of forms with some of the lower grades may not be possible because the teachers left their records and forms in school and could not just get them considering the risk and strict compliance because of the Enhanced Community Quarantine policy. But still, the School ICT Coordinator showed his intention and willingness to assist the teachers in case they are ready for checking and reading of their forms.
