Thanks for volunteering as a C4AI Community Organizer!
To get you set up, you will be given the C4AI Lead role on Discord, and be added to the C4AI Leads Google Group to receive edit access to documents and invites to leads-only events.

📣 When there are big announcements coming to the server C4AI staff will often post them here first - as key members of our community your input is valuable!
🧵 Feel free to start a thread with a specific question - the thread makes it easy for us to have a quick back-and-forth to help you get the answer you need. Other organizers will have visibility into the thread (perhaps they’ll benefit from hearing the answer as well!), but only those tagged in the thread will be notified.

Shared Google Drive Folder
♻️ Hosting planning and administrative documents in a shared place will support knowledge sharing and ensure the sustainability of community-driven programs.
📌 Within your program’s folder, you can make a subfolder that is publicly available to members of the C4AI community. This is where you could store and create resource documents, slides from past events, and collaborative documents.

Planning and hosting meetings and events
Timing
In order to accommodate folks from the time zones most represented in our community, we recommend hosting events around 11:00 am ET.
Ultimately, the timing of your events is your call and you should select times that work for you and your key members.
Event Listings - GCal and Discord
We make event listings on Google Calendar on our Discord server, on the Cohere Discord Server and on the Cohere Events website (https://cohere.com/events) event listing. Once plans for your event are set, start a thread in the Leads Channel or a DM with all organizers involved to send Brittawnya the details and she will set them up on all platforms. You will then be able to edit/ add to the Discord event (on the C4AI Server), but you won’t have edit access to the GCal event - let Brittawnya know if anything needs to be changed.
Google Meet vs Zoom (vs other?)
As a C4AI Lead, you have access to host events via our business accounts with Google Meet and Zoom (aka no time limits and a few extra features!). Deciding between the platforms is ultimately your call, but here are some things to keep in mind about each.
Google Meet
“Less formal” feeling
The preferred choice for most reading groups and ad-hoc small meetings
Zoom Meeting / Webinar
Improved functionality and options for tools such as breakout rooms and screen sharing
Can implement and waiting room
Can implement pre-registration for events
Additional accessibility/inclusivity features including auto audio-to-text transcripts and the ability for participants to change how their name appears in the platform
There are a host of other tools available including polls, the ability to share music, slides as virtual backgrounds, the ability to annotate another presentation, whiteboards, etc.
Used
by some of our reading/learning groups,
for events with larger attendance (eg. monthly social)
events that are publicly available (for pre-registration and Q&A functionality)
