The goal for providing Chromebooks is to encourage students to engage in problem-based learning and help them to realize that teaching and learning can occur anytime, anyplace. The Chromebook 1:1 Program facilitates:
Enhanced student engagement and technology literacy through the use of technology both at school and beyond the school day.
Enriched individualized and collaborative learning experiences that develop creative, innovative, responsible, informed, and discerning global citizens.
Equitable opportunities for all students and staff to utilize current technology tools and digital resources for research, communication, collaboration, and expression of ideas and information.
Use of consistent applications to better communicate with and enhance the connections among staff and students.
The policies, procedures, and information within this guide apply to students and assigned Chromebooks within grades 2 through 12. During the year, rules and procedures regarding the use of Chromebooks may be added and/or revised. Students and staff will be notified of any procedural changes. Teachers may set additional requirements for technology use within their respective classrooms.
If a student’s Chromebook is broken or fails to work properly, they should report to the building technology support center, the Library Media Center, or their teacher during times designated by each school's administration.
No food or drink should be next to your Chromebook when it is in use.
Cords, cables, and removable storage devices must be inserted carefully into the Chromebook.
Students should never carry the Chromebook while the screen is open.
Chromebooks should be shut down before storing them in order to conserve battery life.
Chromebooks must never be left in unsupervised areas or unlocked cars.
Chromebooks must never be left anywhere they can be subject to extreme heat or cold, i.e. in front of windows, cars, or outside.
It is the student’s responsibility to provide protection for the Chromebook in the form of a padded case or sleeve, or a hard shell type of covering. The guidelines below regarding protective cases should be followed:
Chromebooks should always be in their protective cases when carried.
When transporting Chromebooks in backpacks or bags with books, notebooks, and other objects, be careful to avoid too much weight and/or pressure on the Chromebook screen.
The Chromebook must be closed before placing into any carrying case.
Chromebook screens can be damaged if subjected to rough treatment. They are particularly sensitive to damage caused by putting pressure or weight on the screen.
Do not lean or sit on the Chromebook when it is closed or in a bag/backpack.
Do not place anything in the sleeve or protective case that will press against the cover (i.e. earbuds or headphones).
Do not poke the screen.
Be sure to check that nothing is on the keyboard before closing the Chromebook (i.e. pen or pencil).
Clean the screen with a soft, dry cloth or anti-static cloth. Do not use liquid cleaners.
Clinton Public Schools is pleased to be able to offer devices which provide the necessary applications required by classes, including access to email, calendars, data storage, productivity tools, and the Internet.
These resources are provided to enhance educational goals and objectives. Students are prohibited from accessing other materials that may not be considered educational or finding ways to use the provided hardware and software beyond its educational intent. Misuse of the device and/or misbehavior will result in temporary or permanent loss of access to the Internet, email, or other technology privileges. Violations may result in disciplinary action up to and including suspension/expulsion of students. When applicable, law enforcement will be involved.
Parents are strongly encouraged to monitor student use of the Chromebook at home in order to ensure adherence to all Clinton Public Schools Chromebook policies and guidelines.
Provide a functional device with limited, filtered access to the Internet and all resources associated with the Internet including email, calendars, document editors, and file storage.
Filter and manage Internet connections for appropriate material. No filtering system will block 100% of material that may be deemed inappropriate. In some instances, what an individual may deem appropriate may be blocked incorrectly, and in other instances what an individual may deem inappropriate may not be blocked.
Provide network and/or cloud data storage areas. Clinton Public Schools reserve the right to review, monitor, and restrict information stored on or transmitted via owned equipment and to investigate inappropriate use of resources.
Provide staff guidance to aid students in doing research and assure student compliance of the Acceptable Use Policy.
Talk to your students about digital citizenship and the standards they should follow on the use of the Internet just as you do on the use of all media information sources such as television, telephones, movies, and radio.
Be an active participant in your student’s digital life. Have them show you what sites they are navigating, which apps they use, and what they are working on.
You can contact the school media center for resources for promoting positive conversations between you and your student or digital citizenship.
Use computers in a responsible and ethical manner as described in this document.
Obey general school rules concerning behavior and communication that apply to computer use.
Use all technology resources in an appropriate manner so as to not damage school equipment. This “damage” includes, but is not limited to: the loss of data resulting from delays, non-deliveries, mis-deliveries or service interruptions caused by the student’s own negligence, errors or omissions.
Assist Clinton Public Schools to protect our devices and network by contacting an administrator about any security problems they may encounter.
Monitor all activity on their account(s).
Log off their device after they are done working to protect their accounts and files. If a student does not log off, any email or Internet activity under their name will be considered their responsibility.
Contact an administrator, if he/she should receive email containing inappropriate or abusive language or if the subject matter is questionable.
Illegal installation or transmission of copyrighted materials.
Any action that violates existing Board policy or public law.
Unauthorized use of chat rooms.
Visiting sites selling term papers, book reports and other forms of student work.
Internet/Computer Games that are not educational in nature and that are not part of classwork.
Changing computer settings.
Downloading and executing files, unless authorized as part of the curriculum.
Spamming-Sending mass or inappropriate emails.
Gaining unauthorized access to other users’ accounts, files, and/or data.
Password sharing.
Use of the school’s Internet/email accounts for financial or commercial gain or for any illegal activity.
Giving out personal information except in an instructional context and with permission from the District.
Participation in credit card fraud, electronic forgery, or other forms of illegal behavior.
Vandalism of District equipment including computer use that intentionally degrades the security or performance of the District network.
Transmitting or accessing materials that are obscene, offensive, threatening or otherwise intended to harass or bully recipients.
Comply with trademark and copyright laws and all license agreements. Ignorance of the law is not immunity. If you are unsure, ask a teacher or parent/guardian.
Plagiarism is a violation of Clinton Public Schools. Give credit to all sources used, whether quoted or summarized. This includes all forms of media on the Internet, such as graphics, movies, music, and text. Please see your school handbook for more information regarding the district plagiarism policies.
Use or possession of hacking software is strictly prohibited and violators will be subject to disciplinary action.
Cyberbullying is defined as all forms of harassment over the Internet or any form of electronic communications, including cell phones. Students will refrain from using communication devices or Clinton Public Schools property to harass or stalk another. The District’s computer network and the Internet, nor district-provided resources (i.e. Chromebooks or tablets) whether accessed or used at school or away from school, during or after school hours, may not be used for the purpose of cyberbullying. All forms of cyberbullying are unacceptable and viewed as a violation and the District’s Acceptable Use Policy and procedures as well as the District Safe Schools Climate Plan. Administration shall fully investigate all reports of cyberbullying.
Chromebooks will be provided to all students during the first week of school and will be returned at the end of the school year.
Chromebooks will be distributed during the first week of school on a schedule set by the individual school administration typically through their Home Room or Advisory meeting.
Parents and Students must sign and submit a Chromebook Procedures Agreement and the Google Consent Form using the Family ID online registration system before the Chromebook can be issued.
Students will be responsible to return Chromebooks and accessories at the end of each school year in appropriate, reasonable condition at a date and location determined by each school.
Students will be responsible for the replacement costs of any devices and/or accessories that are not returned.
Students who withdraw, are suspended, expelled, or terminate enrollment in Clinton Public Schools for any reason, must return their individual Chromebook on the date of termination. If the student fails to return the Chromebook they will be subject to the full replacement cost of the device.
Chromebooks are intended for use at school each day. Students are responsible to bring their charged Chromebook to all classes, unless specifically instructed not to do so by their teacher.
Chromebooks assigned to students in grades Pre-K through 4 will not be taken home. Devices will be stored and charged in the students’ home room at the end of each day, and retrieved for the start of each school day.
A limited number of Chromebooks will be available for borrowing through the Learning Commons or Library Media Center.
Students will be responsible for any damage to or loss of borrowed devices.
The use of borrowed devices by students is intended to be for the occasional situation where a Chromebook is forgotten. The frequency of student use of loaner devices will be monitored and, if necessary, reported to the school administration.
Students who borrow a Chromebook will be responsible for returning it to the Learning Commons, Library Media Center, or IT Support staff by the end of each day unless otherwise instructed.
Students who do not abide by this policy will be referred to the administration and may lose loaner privileges or receive other disciplinary actions.
Loaner or replacement Chromebooks will be issued to students when they leave them for repair. Refer to Section 8 for more information about repairs.
Charging Your Chromebook’s Battery
Chromebooks must be brought to school each day fully charged. The average life of a Chromebook battery is 6 to 8 hours. Students need to charge their Chromebooks every night so they are prepared
Charging locations will be made available at various school locations at the discretion of the teachers and administrators.
Students may be able to borrow a charger through the Learning Commons or a teacher if available.
Inappropriate media/graphics may not be used as a screensaver, background, or user profile.
Chromebook cases must remain free of any writing, drawing, or stickers unless it is protected with a removable cover or skin.
Sound must be muted or personal headphones must be used at all times so not to serve as a distraction to others around you.
Students may add appropriate music, photos, or videos to their Chromebook. Personalized media are subject to inspection and must follow the Clinton Public Schools Acceptable Use Policy.
Chromebooks are provided for classroom and school-related use and should not be used for accessing games or non-classroom applications.
Students are allowed to connect their Chromebook to a home or public wireless network outside of school

Internet filtering policies on school networks, will also be applied on all outside networks.
Although the Chromebooks will adhere to the same Internet filtering policies while in school, it is still the responsibility of the parent/guardian to monitor their student’s Internet behaviors outside of school
Any attempt to circumvent or bypass the district filtering policies while outside of school will result in disciplinary action
Most documents and files are automatically saved to the student's Drive in Clinton Public School's G Suite domain. All files and folders associated with Google Drive are stored and protected under Google's Terms of Service, however remain property of Clinton Public Schools.
Students organize their Drive folders appropriately as advised by their classroom teachers
Any documents downloaded and stored locally on the Chromebook will not be backed up by the district. It is the student's responsibility to move these files to their Drive folder.
Students may also backup their work using removable file storage such as a USB memory stick or portable hard drive.
Although rare, tt is the student’s responsibility to ensure that work is not lost due to mechanical failure or accidental deletion. Computer malfunctions are not an acceptable excuse for not submitting work.
Clinton Public Schools makes no guarantee that their network will be up and running 100% of the time. In the rare case that the network is down, the school will not be responsible for lost or missing data.
Most of the G Suite Apps can be used offline. Once a student reconnects to the Internet, the offline files will sync with their G Suite Account.
(Under COVID-19 guidelines, students will not be allowed to print documents while in school. All work must be submitted electronically. Only teachers will be allowed to print and share paper materials.)
Printing at School will be for school-related documents, limited to specific printers only, at designated times, and subject to classroom requirements.
Chromebooks can be connected to a compatible printer in the student's home using a wireless connection. Chromebooks do not support wired hardware connections. For more information, click here.
Chromebooks will be provided with a standard set of applications approved by Clinton Public Schools.
The software originally installed by Clinton Public Schools must remain on the Chromebook in usable condition and be easily accessible at all times.
Virus protection is unnecessary on a Chromebook due to the unique nature of its built-in security. Each web page runs in a restricted environment, therefore, limiting any potential effects on your computer.
Students are allowed to load appropriate, approved applications and extensions for the Chrome Web Store. Students are solely responsible for any apps or extensions on their Chromebooks that have not been installed by Clinton Public Schools. All applications approved by Clinton Public Schools must comply with State and Federal legislative regulations concerning student privacy. Students may request additional applications through their teacher. All applications must comply with State and Federal legislative regulations concerning student privacy.
The District reserves the right to monitor all Chromebook and Internet activity by students. Students have no expectation of privacy in the use of District Chromebooks, including CPS email, files stored on the CPS Drive, and Internet activity either at school or away from school. Students may be asked at any time to provide their Chromebooks for inspection.
Back to TopIt is the student's responsibility to safely protect and store their assigned Chromebook both at school and at home. Students will be held responsible for any damage that may occur to the device while in their possession.
The Chromebook inventory will be managed accordingly by the Department of Information Technology. Chromebook inventory will include a record of the following:
Device serial number
Individual user account name
Asset identification ID number. Asset ID stickers are not to be modified or tampered with in any way. Students may be charged a fee for tampering with an Asset Tag or turning in a device without one.
All Chromebooks will be provided with a label identifying the student assignment. Tampering of identification labels could result in disciplinary action.
District Chromebooks will only allow access using a provided clintonpublic.net username and password.
Students are expected to maintain the confidentiality of their own passwords - the IT Department does not hold a record of student passwords.
If a student fails to keep this confidentiality agreement or any part of the procedures described herein, have not been followed, appropriate disciplinary steps will be followed.
Forgotten passwords should be reported to technology support staff or ateacher
When students are not using their Chromebook it should be stored properly:
Close the lid
Do not place heavy objects on top of the Chromebooks
Be careful not to crush or squeeze the device when placing in backpacks or lockers.
Students in grades 7 through 12 are encouraged to take their Chromebooks home each day after school, regardless of whether or not they are needed.
Transport the device in a padded bag, backpack, or sleeve
Be careful not to sit on, crush, or drop any bags containing Chromebooks.
Cases & Bags
Although the district does not provide protection solutions, students are encouraged to protect their Chromebook using an appropriate case, cover, or padded bag.
To prevent loss of theft, Chromebooks should not be left in unsupervised areas including locker rooms, computer labs, library, unlocked classrooms, hallways, or cafeterias.

Warranty
The manufacturer’s warranty for all devices is (1 year) and covers the following:
Battery not holding a charge
Device will not boot or start the operating system
Screen will not illuminate
Trackpad or keyboard not working
Students and families are not responsible for any costs associated with repairs under the Manufacturer’s Warranty, or for repairs consistent with a defective product.
Accidental Damage Protection costs for the 2022-23 school year will be $20.00 per device.
This is intended to provide coverage for accidental physical damage to the device including cracked or broken screens, liquid spills, missing or loose keys, cracked cases. or accidental drops.
Parents may enroll their students via the FamilyID online registration system. Payments may be made by check payable to Clinton Public Schools, turned in to the main office or electronically via the MySchoolBucks electronic payment system.
To participate in the program, families must enroll their child(ren) by September 17 of the current school year.
Enrollment in the program provides free repair for up to two (2) instances of damage during that school year (excluding total loss).
Enrollment in the program provides a reduced replacement cost for a total loss. Students who have enrolled in the program will be responsible for 50% of the total replacement cost of the device for the first instance. Subsequent total loss claims in the same school year will require full cost of replacement and possible restriction of Chromebook privileges
If a student is enrolled in the protection program, a replacement Chromebook will be provided immediately. The student will keep the loaner device until all repairs are completed.
If a student is NOT enrolled in the program, they will be responsible for the full cost of all repairs not covered under the manufacturer’s warranty or full replacement costs in the event the device is lost or stolen. Outstanding balances are expected to be paid within 10 school days.
If a student is NOT enrolled in the insurance program, a replacement device will be provided, however their assigned device will not be returned until payments are made.
If a student withdraws from Clinton Public Schools and then re-enrolls at a later in the same school year, any insurance coverage purchased prior will be reinstated.
Costs for repair or replacement that are not covered under the manufacturer’s warranty, are outlined below. All repairs are made with certified HP or Lenovo genuine replacement parts. Repair and replacement costs for the 2022-23 school year can be found here.
Clinton Public Schools reserves the right to charge the student the entire replacement cost if student negligence is determined to be the cause of the damage. Negligence could include, but is not limited to:
Not immediately reporting damage to or loss/theft of the device.
Damage caused by failure to provide adequate protection for the device or general carelessness.
Battery damage due to the use of an inappropriate charger
Dishonest, fraudulent, or criminal acts
Theft not accompanied by a police or school administrative report.
In the event that there are repeated accidents of similar nature, Clinton Public Schools may view this as a situation whereby the student did not exercise proper care and/or reasonable precautions, and therefore:
The accidental damage coverage program is no longer applicable
The student will be required to sign-out and return a device on a daily basis for use only during the school day.
Report directly to the school technology support technician with the Chromebook
The Chromebook will be examined by a designated staff member to determine if there is a qualifying insurance claim.
A support ticket will be created within the district technology help desk
Students will be provided the appropriate information regarding the claim. If the student is not enrolled in the insurance program, the student will be provided documentation of the damage and all costs associated with repairs. Documentation will also be emailed to a parent and sent to the school office to be recorded as an accountability.
In cases of theft or disappearance, a police report or supporting document provided by school administration before a replacement Chromebook can be issued.
Checks should be made payable to Clinton Public Schools. Credit card payments for repairs can be accepted upon request. A receipt will be provided to the student at the time of payment.

User account issues and password reset
Application and device usage assistance
Coordination of repairs and replacement devices
Share basic troubleshooting steps to assist with self-repair
Although the IT staff is knowledgeable of G Suite applications and uses, their role in classroom integration support is limited. Students should seek the assistance of a teacher, or specialist for assistance with classwork.
The privilege of using technology resources provided by Clinton Public Schools is not transferable or extendible by students to people or groups outside of the District and terminates when a student is no longer enrolled in Clinton Public Schools. These procedures are provided to make all users aware of the responsibilities associated with the efficient, ethical, and lawful use of technology resources. If a person violates any of the User Terms and Conditions named in these procedures, privileges may be limited or terminated altogether, access to District technology resources may be denied, and the appropriate disciplinary action will be taken according to the Student/Parent Handbook.
The use of Clinton Public Schools technology resources is subject to the following terms and conditions:
The use of technology resources must be educational and/or for research purposes consistent with the mission, goals, and objectives of the Morgan School and Clinton Public Schools. In compliance with State and Federal regulations, the school District shall make reasonable efforts to restrict access to inappropriate materials and shall monitor online activities of end users using District resources.
User accounts are considered property of Clinton Public Schools. Technology Administrators may review District computers to maintain system integrity and to ensure users and using the system responsibly and appropriately. Students should not expect that anything stored on District computers or networks will be private.
The District reserves the right to utilize Google’s Location Services in order to provide the location of a lost or stolen Chromebook.
Illegal installation or transmission of copyrighted materials.
Any action that violates existing Board policy or public law.
Unauthorized use of chat rooms.

Creating, uploading, or transmitting computer viruses.
Attempting to defeat computer or network security.
The use of Chromebooks is a privilege that can be revoked. Inappropriate use or neglect of the Chromebook can result in limits to or loss of the device. Consequences for inappropriate use will vary according to infraction, but may include any or all of the following in accordance with Clinton Public Schools Board Policy.:
School disciplinary actions in accordance with school policies
Progressive disciplinary actions for repeated offenses
Increased controls or limits set to the device itself
Required daily sign-out for use of the device for a defined period of time.
