Welcome Letter - 8 March 2023

Dear Parent/Carer,

 

Welcome!

I am delighted that your child will be joining Chancellor’s in September and I look forward to welcoming them to the school. 

 

Confirmation of acceptance                          

It is very important that you confirm acceptance of your place at Chancellor’s with Hertfordshire County Council (or your Local Authority if you are not in Hertfordshire), by accessing your account online and following the instructions provided, or using the paper response form included with your allocation letter. The deadline for acceptance of your place is 15th March 2023.

 

If Chancellor’s was not your highest preference school, but you are happy with the allocation and no longer wish to pursue a place at any of your original higher preferences, you must let the Admissions and Transport team know immediately by opting out of the continuing interest process, otherwise you risk losing your place at Chancellor’s. To ‘opt out’ of the continuing interest process please see the information on the Hertfordshire County Council’s website. Those without access to the internet can contact the Customer Service Centre for a ‘What Can You Do Now?’ leaflet on 0300 123 4043.

 

Induction

As you will be aware, we are committed to ensuring that our students receive the very best educational experience and leave our school with the qualifications and skills that are essential for their future lives.  We want your child to be happy and successful at Chancellor’s and we place a great deal of emphasis on the highest standards of pastoral care. 

 

In order for your child to make the very best start in September, we have organised a comprehensive induction programme and this is in four parts.

 

Firstly, during May, one of our pastoral leaders will visit your child’s primary school to meet them, as well as the other children who will be attending Chancellor’s and their current teacher. This will provide us with the chance to see your child in their own school setting, as well as providing an opportunity to speak in detail to the primary school to help us ensure that the transition to Chancellor’s is a smooth one.

 

In June, we will invite you and your child to attend an informal interview with a member of our staff. This will be a chance for us to learn more about your child and answer any questions that you or your child may have.

 

Thirdly, on Thursday 13th July, we hope that your child will spend the day at Chancellor’s.  This will give them the chance to experience school life at Chancellor’s in readiness for September. On the evening of 13th July, there will be an opportunity for you to attend an information evening for parents and carers of Year 6 students.  At this event you will hear from a number of key staff and meet your child’s form tutor.

 

Finally, we hope to be able to organise for your child to attend a two day summer school, either at the start or end of the holiday. The Summer School will be chargeable at £50 for two days with a reduction for students and families who require it.Please can I ask you to use this link to give an initial expression of interest and preference of summer school.

 

Next Steps

During May, we will email you some important information. This will include access to the school’s management information system (Arbor) so that you can enter all the personal information for your child directly onto the school’s system. You will also receive a link to the Year 7 Transition site, which will hold the key information you will need ahead of your child starting at Chancellor’s in September.

 

All transitional communication and information will be sent via email. Therefore, please ensure you are happy for all information to be sent to the email address we currently have for you. If you would like for us to use an alternative email address, please email admin@chancellors.herts.sch.uk with your child’s name and the email address you would like us to use.

 

We want the transition from primary school to Chancellor’s to be as smooth as possible, so please do not hesitate to contact the school should you have any concerns or questions about the process.

Summer Schools  (Save the Date) Email - 29 March 2023

Dear Parent/Carer, 

Save the Date! Chancellor’s Summer Schools for incoming Year 7 students 

I am pleased to confirm that we will be running two summer schools this year for our incoming Year 7 students. Summer school is designed to support your child(ren)’s transition, so that they feel confident and ready to start Chancellor’s in September. 

We will be running the summer schools on either Monday 24th and Tuesday 25th July or Tuesday 29th and Wednesday 30th August 2023. If you wish your child(ren) to be involved, they will need to attend on both days of the summer school, and we would ask you to save these dates in your diary. Please note that students will only be able to attend one summer school. Sadly, as there is no funding available for the summer schools, we will be asking for a contribution of £70, which will cover the cost of the summer school (this includes a snack, lunch and resources on both days), with a reduction in costs for those families who require financial assistance (Pupil Premium/Free School Meals). 

This is a fantastic opportunity to welcome our new students to the school and we hope that the majority of our new intake will be able to take advantage of it. During the summer school, your child(ren) will have the chance to meet some of their teachers, familiarise themselves with the school environment and enjoy some creative learning opportunities. 

Chancellor's induction process will be starting soon. After half term, a member of the Chancellor’s staff will contact your children’s school to support a smooth transition. We are very much looking forward to your child(ren) joining the Chancellor’s.

Further to my letter last term, I am writing to provide further details regarding Chancellor’s Summer School events during the summer holidays. Our summer schools will take place on the following days:

Payment Details

Summer School Programme

We are in the process of finalising an exciting variety of activities for the summer schools to provide students with an opportunity to try out a range of subjects, familiarise themselves around the school site and to meet staff. Please find below some further information. 

 

Drop off and Pick up

Students will need to arrive at 9.00am and be collected at 3.00pm each day.

 

Students can access the school via the back field gate by the Golf Club or by using the pedestrian gate for students near the turning circle. Please either park along Pine Grove and walk the remainder of the journey, or drop off your child(ren) at the car drop off zone. At the end of the school day, please park considerately along Pine Grove and arrange to meet your child at a specific place. For those of you who are new to the school, please be mindful of the local residents and other road users, as the Pine Grove can become very congested at the start and the end of each day.

 

Equipment and Clothing

Please ensure your child wears comfortable clothes and trainers. There will be one sporting activity per day so sportswear is preferable; strappy tops or crop tops are not allowed. The weather may be hot or wet so please send the following with your child(ren):

·         Sunscreen

·         Water bottle

·         Sun hat (if weather is hot)

·         Raincoat (if wet)

·         Pencil case (including a pen, pencil and colouring materials)

·         A Reading book

 

Mobile Phones

Mobile phones are not permitted and should be kept at home. As per the school’s policy, students will not be allowed to use mobile phones in school, and we will not accept any responsibility if they are lost or damaged.

 

Break and Lunches

A snack and lunch will be provided on both days. If your child has any dietary requirements or allergens then please provide snacks and a packed lunch.  Students will not need any money.

 

Additional Medical Needs

If students require medication during the school day then please place it in a clear plastic wallet/box with the following information: 

a.       Your child’s name 

b.       Types of medication 

c.       Time(s) of the medication(s)

d.       Dosage of medication(s)

 

Please hand the medication in at reception by 9.00am on the first day that your child is attending the summer school. If your child uses an Asthma inhaler or an EPIPEN please ensure that they have these on them at all times.

 

Support

There will be additional support in all activities and lessons. This will either be a member of the support staff or an additional member of the teaching staff.

 

Code of Conduct

Students will follow the school’s code of conduct (see attached). Please read this with your child beforehand. Staff will also refer to these expectations in our first assembly and during form times.  If a student is not following our clear expectations, then a parent/carer will be contacted and a meeting will be arranged. We expect the summer school to be a positive experience for all students and will not tolerate any poor behaviour.

Due to the absence of public transport and to aid our students’ travel to and from the Cuffley and Cheshunt areas, since 2015 Chancellor’s School has facilitated a commercial bus service picking up and dropping off at the following stops:

Chancellor’s School

 

For your child(ren) to use this service, parents must commit to an annual ticket(s) which guarantee a seat(s). There is an annual flat rate charge per student (i.e. regardless of where the journey starts). We are unable to offer weekly, termly or one-way tickets.

 

We are delighted to inform you that despite the increased cost of living and high level of inflation, we have been able to secure the price of a seat on the GB4 bus for the next academic year for £1290.

This is an increase of only 3.2% compared to last year’s cost (£1250) and I am sure you will appreciate this is a very reasonable increase when all other factors are taken into account. 

Every year we determine the cost of a seat by dividing the cost of the coach by the number of seats, and other than a small banking charge, do not pass on any administrative costs for the service. This price includes the cost of the bus pass, however, there will be a £5 charge for a replacement card.

The price of £1290 is based on all seats being sold and the bus running at capacity. However, based on numbers using the service over the last few years we do not anticipate this being an issue, and due to the demand for seats, we normally have a small waiting list.

Payment can only be made via ParentPay from 6pm on 30th June. Please do not try to make payment until then.

We have scheduled the following payment plan:

30th June 2023 – £430 deposit to confirm the intention to purchase and secure an annual ticket for travel to and from Cuffley and Cheshunt.

25th August 2023 – 2nd instalment of £430 to confirm the annual season ticket purchase. Tickets will be issued based on payment at this point in time.

27th October 2023 – Final instalment of £430 will be due.

We will confirm the final price towards the end of August on the basis of the number of families who have paid their deposit.

Seats can only be secured by payment of the £430 deposit via ParentPay on 30th June. This is on a first come first served basis, therefore once all seats have been confirmed by payment of the deposit there will be no other seats available. Seats cannot be reserved by any other method. We anticipate a very high demand for places so please do not delay in securing your place if required.

As you are no doubt aware, there are many significant benefits to public transport from road safety to greater personal responsibility and independence to environmental benefits. We hope that you are encouraged by our commitment to securing viable and safe travel for students in Cuffley and the surrounding villages and look forward to confirmation of your desire to take up this offer for the school transport.

A reminder that the seats can be purchased from 30th June will be sent closer to the date.

Again this year we are not sending out any paper/hard copies of letters or information regarding Year 6 to 7 transition. We are also not sending out any forms to complete, we will be asking you to update all the important information on the Arbor Parent Portal.

2. Click the link in your welcome email to set up your password
3. Go to the App or Google Play Store on your phone and search ‘Arbor’
4. Click ‘Install’ on Android or ‘Get’ on iPhone then open the App
5. Enter your email, select the school, and then enter your password
6. Accept the Terms & Conditions and enter your child’s birthday

You can also access the portal via the website on a computer if you would prefer than the app.

We will be collating all student personal information via our Arbor Parent Portal App. Therefore it is vital you login in to your Arbor account (see below) and complete all the necessary information regarding your child by Friday 9th June 2023 (it may be easier to enter all this information on a computer rather than your phone).

 

Important Information we need:

·         Student profile information (check name, DOB, address etc), you will not be able to change the name or date of birth. If this information is incorrect please email   admin@chancellors.herts.sch.uk and we will update this for you

·         Enter at least 2 additional emergency contacts

·         Check all contact telephone numbers and email addresses are correct

·         Enter all relevant medical information, ensure this is completed with detailed diagnosed medical conditions

·         Enter all dietary information (allergies etc.)

Locker Email - 6 June 2023

Art, Design & Technology, Food and Textiles - 27 June 2023

Dear parent/carer,

In order to fulfil the curriculum requirements students will carry out regular practical activities in Art, Design & Technology, Food and Textiles


Whilst certain consumables are bought from school funds, we can give the students the opportunity to tackle more challenging and substantial ‘design and make’ tasks with the help of parental contributions.


Whilst parents are required to provide all ingredients for practical Food sessions, there are occasions when students may need to access store cupboard ingredients.  In addition to this, it is beneficial for students to have the opportunity to taste food products and demonstrated dishes.


We therefore suggest a one off contribution of either £35 or £60 that covers all of KS3. £35 will pay for all basic provisions in Design and Technology, Textiles, Food and Art resources. If you are able to contribute £60 (£20 per year), this will cover all basic provisions for your child and help pay for additional extra resources for enrichment tasks in the various subjects.

Secondary Transition Day (13 July 2023) - 3 July 2023

Dear Parent/Carer,

Secondary Transition Day – Students
On Thursday 13th July, your child(ren) will have the opportunity to experience their first day at Chancellor’s School. Children will be introduced to their form tutor, participate in lessons and meet other members of their year group as well as having the opportunity to familiarise themselves with their new school surroundings.

Your child(ren) will need to wear their primary school uniform, bring a packed lunch and have a suitable bag and stationery (pen, pencil, eraser and ruler). Children should be dropped off by the gate at the top of the turning circle at the following approximate times:

• 8:30am – students from Hatfield, Cuffley and the villages
• 8:45am – students from Potters Bar

We are staggering the arrival times as Pine Grove can become very congested with school-related traffic. Please leave sufficient time to park considerately and be prepared to walk the final stage of the journey, so that passing points are maintained on the road and road users are able to continue to move freely up and down the road. We ask you to be ready to say goodbye to your child and to return quickly to your vehicles. There will be various staff present to meet your child(ren) at the school gates and to help them as they arrive at their new school. Please do not panic if you are running late, as we will make sure your child(ren) join in with the activities as soon as they arrive at the school.

Please can I also ask you to collect your child(ren) promptly at the end of their transition day at 2.15pm. Students will be dismissed from the school gates and, once again, school staff will be on duty to make sure everyone leaves safely.

Biometric system
If you have agreed to your child(ren) using the biometric system, their thumbprint will be taken on the day, to be used in the school canteen in September (you can consent/or decline consent to the biometric thumbprint via the Arbor parent portal). If you have not given permission for your child(ren) to use the biometric system, a pin number will be allocated to them instead.

Medical information
If you have not already done so already, please ensure your contact details and medical information for your child(ren) is up to date on Arbor prior to Thursday 13th July. This is to ensure we have the most up to date information in an emergency. If your child has a medical healthcare plan in place for conditions such diabetes, allergies requiring an epipen, severe asthma requiring an inhaler etc. please email our Medical Assistant at titchmarshb@chancellors.herts.sch.uk prior to their arrival on 13th July 2023.

Virtual Parents’ Information Evening
On Thursday 13th July at 4:30pm, there will be a virtual information evening for parents and carers of Year 6 children. At this event, you will hear from key staff. The email contact details that we have for you on Arbor will be used to send you the link to the virtual event, you should receive this no later than Thursday 13th July 2023.

Secondary Transition Day (13 July 2023) Reminder - 12 July 2023

 Dear Parent/Carer,

 

Just a reminder for tomorrow, please see below the email sent out last week.

 

Also there will be a Second-Hand Uniform stall to purchase uniform items outside the school in the morning. Please bring cash or you can pay for your items via ParentPay afterwards.

 

Secondary Transition Day – Students

On Thursday 13th July, your child(ren) will have the opportunity to experience their first day at Chancellor’s School.  Children will be introduced to their form tutor, participate in lessons and meet other members of their year group as well as having the opportunity to familiarise themselves with their new school surroundings. 

 

Your child(ren) will need to wear their primary school uniform, bring a packed lunch and have a suitable bag and stationery (pen, pencil, eraser and ruler). Children should be dropped off by the gate at the top of the turning circle at the following approximate times:

 

·         8:30am – students from Hatfield, Cuffley and the villages

·         8:45am – students from Potters Bar
