Parents

Parent Meeting: 

Meet in the Learning Commons in FAC at 7:00 pm! This meeting normally runs for an hour including question time and time to chat with other parents. 

To kick off each production, we will hold a parent meeting. This meeting is meant to give parents all the information they need to know going into the project and answer any questions. This is also your chance to meet other parents, organize carpool groups, and sign up to help with parent committees.  

Online Stage Whispers will NOT be posted unless this form is signed and returned to the director. 

Did you fill out a backgroud check form yet?

All adults who will interact with our students or money MUST submit a background check to the Caledonia Resource Center 10 days before they wish to come in. This includes parent volunteers. It is highly recommended that you go ahead and submit a background check if you AT ALL think you might want to come in to help with the production.

Matinee Potluck

Traditionally, we have a potluck to feed the kids between shows on our two-show days. Have fun with this! Remember, there are about 40-70 kiddos to feed, and we will also need help with clean-up/take-down. 

Show Day Jobs

These are jobs for which we will need a particular number of slots filled for each show. To signup, go to the SignupGenius. Kids can get NHS hours for ushering. 

Backstage Helper

Help the kids get ready for the show. This can mean anything from helping with hair to running around finding a lost prop. The kids love hanging out with the parents backstage... and more adults adds a layer of safety on crazy show days. You will need to show up when the kids show up.


Ticker Seller

What it sounds like. Show up an hour before the show. Sell tickets. (You normally miss the first ten minutes of the show, but after that you are free). 


Flowergram Table

What it sounds like. Show up an hour before the show. Sell flowers before the show and at intermission. You will also bring the flowers to a table backstage. (You normally miss the first ten minutes of the show and the middle bits after intermission). 


Concession Stand

What it sounds like. Show up an hour before the show. Sell snacks before the show and at intermission. (You normally miss the first ten minutes of the show and the middle bits after intermission). 


Usher 

Show up an hour before the show. Take tickets at the door and hand out programs.


Bring Snacks

Bring snacks for the kids to have backstage. 

How Can Parents Help?

Fill out the Signup Genius within the first week of the show to get onto email list for these groups. HOWEVER, please feel free to jump in and help at any time! There is a bunch to get done!

Set Building 

Grab a paintbrush! We need a set! This Committee will be in charge of set building. If we can find a Head Set Builder, that person will head this Committee. Set design is flexible to meet the skill level of the committee. Even if all you can do is paint a wall one color, that helps!!! Once we get a plan together, parents are encouraged to come in and donate ANY time they have to this project. 


Costume Committee 

The director and the kids will make a list of the costumes we need, and the basement is FULL of costumes! BUT finding what we need, making sure it fits, and labeling it takes time. Can you help? This job can also be really fun if you like to style clothes! 

If we can find a Costume Manager, that person will head this committee. 

Even if you can just help with your own student, please do! This is one of the biggest jobs in the theatre. It isn't hard! There is just a lot of kiddos :) 


Props 

The director and the kids will make a list of the props we need, but we need help finding them! Can you help us dig through the prop storage to find what we need? We might also need a few props made if you are a crafter! This task can be done during any rehearsal hours. 


Concessions Committee

Every show, we sell snacks for guests to buy. We need a committee to be in charge of buying snacks for this!!! This committee will buy snacks and deliver them to the shows. 

All snacks are traditionally sold for $1. Keep this in mind when buying (we want to turn a small profit). We also tend to expect 80 people per show. Some past committees have chosen to over-buy and return the unopened snacks. Others have tried to take their best guess and bought more over show weekend if needed. 

This committee would be one that would use the reimbursement form.


Flowergram Committee

Every show, we sell flowers for guests to buy for the cast/crew. We offer a tag for the guests to write a note to the cast/crew member on and then bring the flower backstage for the kids to pick up. We need a committee to be in charge of prepping flowers and tags for this!!! This committee will buy flowers, design and prep tags, and deliver those flowers and tags to the shows. 

Flowers are traditionally sold for $1-3. Keep this in mind when buying flowers (we want to turn a small profit). We also let people use the tags to send candy from the candy stand, so we will need extra tags.  Traditionally, we just print six tags on printer paper and tie them on with gift ribbon. 

This committee would be one that would use the reimbursement form.


Marketing Committee

Do anything to promote the show! This can be really fun! The director will provide posters (and encourage kids to hang them around town), post on Instagram and Facebook, and arrange for school announcements. What else can we do to get people to come?


Locker Tags

This is a school tradition that goes way back. Parents make decorative 8X5 cards with the kids' names and roles. These then go on their lockers. If anyone wants to take on this project, the kids would love it!


Photos

It would be SUPER awesome if someone (or a group) could take photos of the kids having fun for memories. If we could get them on a drive format and share them with all the parents, that would be great!!! 

Shout Out Ads!!!

We have a fun little tradition of shout out ads in our programs! This fundraiser allows friends and family to buy ad space in the program at a discount to send a message to the cast/crew member of their choice! Use it for touching moments, celebrations, giggles, or just to make your student feel special! 

All program-related materials are due October 23rd!  


Organize the Basement!!! 

Let's face it. There is too much stuff in the basement and not enough space. This is a project that needs to get tackled if anyone has time! 

How to help: 

Reimbursement

If you are buying something for the production, you will need to fill out a reimbursement form to get paid back. All purchases must be preapproved by the director, and all forms must be signed by the director. Forms must also be turned in with original receipts. If this is your first time being reimbursed, the CRC may contact you for more information (they may have you fill out a first-time account form).

Background Checks

All adults who will interact with our students or money MUST submit a background check to the Caledonia Resource Center 10 days before they wish to come in. This is for the safety of our children! (If you already have a background check on file with the school for the year, you can skip this step).
