Gemini and NotebookLM Access for Students

Gemini and NotebookLM are available in Clever most students in grades 7 and up. As part of Google’s core services, they provide data privacy protections and do not train their models on our data. 

K-5/6 schools without access to Gemini or NotebookLM should have their school leader put in a ticket at helpdesk.mybps.org to request access for their whole school or specific grades. It is also recommended that your school complete the 1-hour asynchronous Demystifying AI course or request a custom PD to ensure that teachers are prepared to use the tools with students. 

Note on AI Apps for Students

ChatGPT and most AI sites have been blocked for students on BPS Chromebooks and with their BPS emails. Students are advised to use tools that are on BPS’s approved AI tools list (such as Gemini).

Guidance on Use of AI Notetakers in BPS

Zoom AI Companion is BPS’s approved AI Notetaking tool for BPS staff and students. It requires participant consent and should not be used without the meeting host being present. For privacy and security purposes, third-party notetakers such as Otter.AI, Read.AI, Fathom.AI, and Fireflies.AI will be blocked. Users are advised to set up Zoom AI Companion by following these directions and best practices. 

Please keep in mind that AI-generated notes are subject to a Freedom of Information Act (FOIA) request. Avoid discussing sensitive information such as passwords and student IEPs when utilizing these notetakers. Staff and students should only use tools marked as Secure (🔒) when using AI with student or staff data or confidential information. IEP information should not be entered into any tool except Solara.
