Good Morning BH Staff,
This email is just a heads-up on a significant technology change that will be happening over the next month or so. We will be moving from the Microsoft SharePoint and S Drive to Google GSuite across the entire company to make processes smoother and more effective.
You will still be able to use the Microsoft suite of products: Word, Excel, PowerPoint, Google Docs, Google Sheets but how you access email and store files will change.
Please see the rollout schedule below, and be on the lookout for emails from our technical partner DNS on what steps you may need to take on your own device.
Between now and September 11 - All files will be copied from S Drive and SharePoint over to GSuite. We will start locking down these drives Friday, September 9 in the evening to make final copies.
Monday, September 12 - All SharePoint folders and the S drive will be marked as READ ONLY. Starting this day, all data must be saved on GDrive. DNS will provide directions on adding Google Drive products to your desktop.
Between now and October 2 - All email, contacts, and calendar events will be copied from Microsoft 365 to GSuite.
Weekend of September 30 - Final copy of all recent Outlook data will occur. All personal OneDrive accounts will be copied over to personal Google Drive accounts (In “My Drive”).
Monday, October 3 - Emails will only be through Gmail, and you should no longer use Microsoft Office.
In preparation for the above, please take the following steps:
Make note of any recurring calendar invites, blocked/safe senders, and custom reminders you have set up. They may need to be recreated when we migrate the system to the Google platform.
Between now and the migration, please avoid doing any “reorganization” of files or email. If you move an email from one folder to another, and the migration process has already copied that email, it will not be moved in GMail. Also, moving files on SharePoint or the S Drive, might result in it not being put into the correct folder on the GDrive.
Be responsive to emails from me and DNS, as there may be questions with the migration.
Please let us know if there are any questions about the outlined information. I will reach out again in a few days to highlight some do’s and don’ts and what to expect as we make the switch.
Thank you!
