This manual is intended to show AISD library staff how to do various day to day functions withing WorkFlows. If you can not find what you are looking for, please contact the LMC for further assistance.
Inventory
Contact Library Technology (4-1700 x72294), TEAMS message or emailing to schedule inventory.
Once your scheduled time has started, scan materials.
If using circ login, open the [Special Circulation Functions] group. If using aide login, open [Common Tasks] group.
Click on the "Inventory Item" wizard (open book with clipboard) or use the F2 Hotkey.
In the Inventory Item window, place your curse in the "Item ID" field and scan the barcode of the item.
Check the box to verify that the item you scanned was entered.
Continue to scan items.
Click "Close" to close out the window.
Once all items have been scanned, contact Library Technology to run inventory reports.
NEVER report for missed/missing items never inventoried.
BEFORE report for missed/missing items inventoried before.
Review the inventory reports and attempt to locate items listed on the report. When located, scan items into the "Inventory Item" wizard.
After you have located and scanned missing items, contact library technology to re-run the inventory reports.
Attempt to locate any remaining items on the re-run reports.
When finished, contact Library Technology and they will change all remaining outstanding items to Missing.
Inventory Tips
Have the volume on your scanning computer turned on and listen for the audible alert for items that need attention.
Periodically check the inventory window to make sure items are scanning, the scanner beep is not an indication that the system registered the scan.
Regularly close and re-open the inventory window to ensure items scan properly.
If an item shows up as "NOT IN CATALOG"
Close the dialog box
Scan the item a second time
If the item is still "NOT IN CATALOG" pull it from the shelf
Collect all items like this and check them to your catalog when not scanning the shelves.
Any items not listed should go to the LMC for cataloging.

Accessing Reports
Log into WorkFlows with the circulation credentials.
In the "Common Tasks" group select "Finished Reports."
Double click the report you want to view.

Checkouts
Elem CheckoutsbyHmRm (list)
a list of campus students with items that are checked out sorted by homeroom teacher.
Items lost and billed are NOT in this report.
This report can be done by month, semester or by date.
Staff List
Overdues
Overdue/billsby HomeRoom (elementary only)
Overdue Notice -
individual notice to be sent with students who have overdues (from any campus)
sorted by teacher.
This report does NOT include items that have marked lost and billed.
Secondary students will be emailed their overdue notices. Please make sure your campus is included in the report that runs bi-weekly.
Long Overdues - for marking lost and billing
Obligation list - (MS and HS only) This is an alpha list of student names only.
MS/HS Level Alpha Obligation List - alpha list
MS/HS Student Obligation List by Teacher (brief) -
alpha list of students (name and student number) sorted by teacher for owing the library materials or bills.
MS/HS Student Obligation List (Full) -
alpha list of students sorted by teacher for owing the library materials or bills.
includes student name, ID number, owing Library, and Call # of item.
Staff List - List staff including courtesy, parent, student teacher, and subs with overdue items.
Bills
Bill Notice--individual notices to be sent with students who have bills including items that have been marked lost, sorted by teacher.
Bill list - alpha order listing the item billed
Miscellaneous
Stacks - items with locations marked "STACKS"
Books pd in school year
Checking History of Item
