It involves the analysis of the educational history of students, especially those who attended several schools. It also covers the proper sequencing and transfer of credentials and the sufficiency and validity of credentials.
Checking the validation of subjects taken by students in another school to ensure that they are credited for equivalent subjects in the Ateneo Loyola Schools is also managed by the Office of the Registrar.
The office also ensures correctness of the curricular versions applicable to each student and the consequent evaluation of the students’ Individual Program of Study. This includes the tracking of curricular requirements in the event the student shifts to another degree program or pursues double major and Minor or Specialization programs.
Students who wish to separate themselves from the Loyola Schools for a semester or more must file a Request for Leave of Absence.
Using the student's @obf.ateneo.edu email, he/she shall submit his/her request via email to the Department Chair/Program Director (cc: Registrar - registrar1.ls@ateneo.edu) with subject title:
REQUEST FOR LOA - Student’s Last Name - Degree Code (e.g. REQUEST FOR LOA - Dela Cruz - MA POS)
It should also include the following details:
Student’s Name
Student’s ID Number
Degree Program
Current SY and Semester
Duration of Requested LOA
Reason(s) for LOA
Type of scholarship, if any. (e.g. DOST ERDT)
NOTE: If the reason for the LOA is medical in nature, the student should follow the guidelines for securing and submitting a medical certificate located at the end of this document.
All copy furnished offices/officers shall respond to indicate their approval/disapproval of the clearance.
Students who wish to be reinstated at the Loyola Schools after having been unable to enroll for at least two consecutive semesters without an approved leave of absence may apply for a REINSTATEMENT.
If the student has exceeded or is about to exceed his/her residency, he/she may apply for EXTENSION.
Using the student's @obf.ateneo.edu email, he/she shall submit his/her request via email to the Office of the Registrar (registrar1.ls@ateneo.edu, cc: adean.adgp.ls@ateneo.edu) with subject title:

The Office of the Registrar evaluates the student’s eligibility to file the request based on his/her academic and enrollment status. The Request will be subject to the endorsement of the Home Department and the approval of the Associate Dean for Graduate Programs.
This is the process in which a student withdraws from the Loyola Schools and intends to transfer to another school.

In order to be officially considered as graduates of the Ateneo de Manila University Loyola Schools and obtain official academic records from the Office of the Registrar, students must have:
a. completed all the academic requirements in their curriculum program of study. In general, these include: completing all the coursework units
passing the comprehensive examinations or their equivalent
defending the thesis/dissertation successfully
submitting the final revised copies of the thesis/dissertation/capstone project
complying with their program’s dissemination and publication requirement.
b. submitted the admission credentials required by the Office of the Registrar. This include the Transfer Credentials and official Transcript of Records from the student's previous university.
c. settled all financial and other obligations to the Loyola Schools, and;
d. obtained clearance from offices in the Loyola Schools
Using the student's @obf.ateneo.edu email, he/she shall submit his/her request via email to the Office of the Registrar (registrar1.ls@ateneo.edu) with subject title:
“Application for Clearance for Graduation [Insert Student ID Number and Full Name]”
