When dealing with long resources, you can upload the pdf file into different AI tools to get summaries and suggested keywords when you are cataloging.
A walk-through of how this can be done, using Perplexity is shown here.

Another AI-assisted cataloging/ metadata tool is ChatGPT.
SolarSPELL MLIS interns & volunteers have developed a couple of different GPT's to help you generate useful metadata about a resource:
METADATA GENERATOR and METADATA GENERATOR, v.2
You start by uploading the file (pdf, doc, mp4, jpg, mp3, etc) that is your resource into one of the above GPT's.
The GPT analyzes your resource, and also simultaneously performs an internet search, to be able to execute a set of pre-programmed instructions.
These instructions were developed by SolarSPELL MLIS interns & volunteers, and task the GPT with responding to you with a multi-faceted answer to your query.
Your multi-faceted answer or response will contain information that will assist a cataloger to populate some of the following metadata fields:
Description: A 2-sentence summary of the resource will be generated
Keywords: Up to 10 potential keywords can be generated
Education Level: generates an answer as to what education level the resource is best suited for
Library User: generates an answer as to who the resource is most appropriate for/ who the resource is best suited for
Subcategory: generates an answer as to which pre-established SolarSPELL subcategory suits the resource the best
Source: searches the internet for a match to try to determine source of the resource
Copyright: searches the internet to try to locate copyright information for the resource
BONUS: One of the GPT's lists 3 additional, similarly-themed resource suggestions, as a curriculum-building aide, to assist our content curation team!
METADATA GENERATOR was developed midway through the Summer 2024 session and has seen extensive use, affirmed and vetted by 5 different users throughout the duration of the Summer session.
METADATA GENERATOR, v.2 was developed by cloning a former GPT that our MLIS team lost access to, and adding some edits. The main difference is that it incorporates existing SolarSPELL standards as a customized knowledge-base document. These standards were sourced and summarized from this Tagging Guidelines Google site.
AN IMPORTANT CAVEAT: AI is not perfect. It is subject to hallucinations and errors. Any response that you receive from either of the GPT's should be examined with a critical eye. Neither GPT is intended to provide answers that should be accepted and implemented blindly. Human oversight/ using your best judgement to arrive at a final answer is a MUST.
This helpful browser extension that pairs ChatGPT and Claude AI can be used to quickly summarize YouTube videos to help with metadata creation.
It could also save time for our content curation team, by determining if it is worthwhile to watch an entire video when deciding if a resource is right for the library.

It is best-practice for accessibility and also beneficial for English-language learners to have access to an audio transcription of video resources.
We can create audio transcription files in moments using Microsoft Stream. Follow the included directions to create a transcription file for your video resources.
