Our district is making a change to how sharing works in Google Drive.
What is changing?
Previously, when sharing a file, you could select "Anyone in WCPSS" (or a similar district-wide sharing option). Because this setting also included students, it will no longer be available for newly shared files.
What is NOT changing?
Any files, folders, or resources that are already shared will remain shared exactly as they are today. You do not need to update existing files or permissions.
How will I share files going forward?
For new files, you will need to share directly with specific individuals or groups by entering their email addresses. For the entire staff that can be very tedious.
A quicker option: Use shared folders
If you frequently share files with the same people, consider placing those files into a folder that is already shared with those individuals.
When you move a file into a shared folder:
The file automatically inherits the folder's sharing permissions.
Everyone who already has access to the folder will be able to access the file.
This can save time and reduce the need to enter multiple email addresses for every new document.
Example:
If you have a grade-level folder already shared with your team, simply drag a new document into that folder. The document will automatically become available to everyone who has access to the folder.
If you need the entire staff to access a document, place it in the AFMS Drive (see image below).
