Whitehall Waves Aquatic Club functions under the supervision of a board of directors. The board of directors makes decisions about the club based on what is in the best interest of the swimmers. Every member of the board is a volunteer. They do not get paid and they are held to the same requirements as the rest of the families involved with the program.
The president of WWAC is charged with scheduling board meetings and parent meetings; selecting swim session dates and pricing/discounts for vote at each meeting; recruiting and training coaches; providing staff with salary information and contracts; overseeing swimmers and coaches; attend/help at in-person sign ups and attend events that promote WWAC; overseeing supply purchases - caps, suits; attending Suburban Swim League meetings; overseeing/organizing all meet personnel; addressing parent concerns.
The vice president of WWAC is charged with attending board meetings, providing agenda items, communicating with Whitehall Township Recreation Director regarding outdoor pool session and usage; communicating with Whitehall School District regarding indoor pool session usage; contacting bus garage to arrange transportation for indoor sessions; attend/help at in-person sign ups and attend events that promote WWAC; helping recruiting volunteers for meets, helping volunteer coordinator at meets, arriving early to meets to help organize volunteers, keep accurate records of volunteer/donations, create all sign-up genius throughout the year, and working closely with president to step up as needed to address any parent concerns.
The treasurer of WWAC is charged with verifying all registration forms and payment at registration; providing receipt book at registration; keeping ongoing working roster for coaches for attendance and meets; maintaining accurate records for fundraisers, apparel sales, registration; following up with parents regarding money due; handling payment of coaches; handling all bank activity; maintain books for concession stands; attend/help at in-person sign ups and attend events that promote WWAC; and being available to address parent concerns.
The secretary is charged with preparing and emailing flyers to all schools; creating online sign up forms; keeping accurate records with registration; submitting rosters to school offices, bus garage, and coaches; contacting board member for upcoming meetings; preparing meeting agenda, take and distribute meeting notes; keeping list of policies voted into effect and when; attend/help at in-person sign ups and attend events that promote WWAC; and being available to address parent concerns.
The parent representative is charged with promoting communication between parents and board members; voicing parent concerns and suggestions to board; attend/help at in-person sign ups and attend events that promote WWAC; completing additional tasks as needed; attending monthly meetings.
