Effective Date: [ March 1, 2026 ]
Thank you for using our mobile application "Voxi Note: AI Note Taker" (hereinafter referred to as "Voxi Note" or "we" / "us"). We are committed to protecting your privacy and have prepared this Privacy Policy to explain how we collect, use, disclose, and protect your personal information. This Privacy Policy applies to all users, including residents of the United States.
Important Note: Voxi Note does not require you to create an account. You can directly use our recording and AI note-taking features.
For the purposes of this Privacy Policy, "personal information" means information that identifies, relates to, describes, or could reasonably be linked, directly or indirectly, with a particular individual. We only collect and use your information for the purposes described in this policy.
We reserve the right to change this Privacy Policy at any time and may notify you by posting the updated version on our website or within the app. In case of material changes, we will notify you via in-app notifications or other means. Your continued use of our Services following the posting of changes constitutes your acceptance of such changes.
If you have any questions about this Privacy Policy or your personal information, please contact us through the following means:
Email: a18629525093@outlook.com
We will endeavor to respond to your request within a reasonable timeframe.
When you use Voxi Note, we may collect the following categories of information. We do not sell your personal information.
Audio Recordings: Audio recordings you create or import using Voxi Note. These recordings may contain your voice, conversations, or other sounds. All recording files are saved locally on your device by default, and we do not automatically upload them to our servers. Recordings are only transmitted to our servers for processing when you actively use cloud-based features like AI summarization or transcription. After processing, you can choose to download or delete them.
User Feedback: Your contact information (such as email address) and the content of your feedback when you contact us via the in-app feedback function or email.
Device Information: We may collect technical information about your mobile device, such as device model, operating system version, unique device identifiers (e.g., IDFV, IDFA if you authorize), IP address, device language, and region settings. This information is used to ensure the app functions properly, analyze crashes, and improve compatibility.
Usage Data: We may collect information about your interaction with the Voxi Note app, such as feature usage frequency, click behavior, session duration, crash logs, and performance data. This information helps us understand how users interact with the app and make improvements.
Microphone Permission: To record audio, we need to request access to your device's microphone when you use the recording function. We only use the microphone when you are actively recording and do not access it in the background or without your permission. You can disable microphone access at any time through your device settings.
Storage Permission: To save recording files on your device, we may need to request access to device storage. You can also manage this permission through your device settings.
We do not actively obtain personal information about you from third parties, except when you explicitly choose to use third-party services to log in or share content (e.g., sharing app content via social media, though Voxi Note itself does not offer account login functionality).
We do not sell your personal information. We only use your information for the following purposes:
We share your information with third parties only in the following limited circumstances:
Service Providers: We may engage trusted third-party companies or individuals to assist us in operating our Services, such as cloud service providers (for processing AI transcription/summarization you request) and crash analytics services. These service providers only access information necessary to perform their tasks and are contractually bound not to use it for any other purpose.
Legal Requirements: We may disclose your information when we have a good faith belief that it is necessary to comply with applicable law, legal process, or governmental requests, or to protect the rights, property, or safety of us, other users, or the public.
Business Transfers: If Voxi Note is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you of such circumstances via notice and/or prominent means.
We do not sell, rent, or trade your audio recordings or other personal information to any third party for their own commercial purposes.
Depending on the laws of the US state where you reside (e.g., the California Consumer Privacy Act (CCPA) and similar laws in other states), you may have specific rights regarding your personal information. These rights may include:
Right to Know: You have the right to request that we disclose the categories and specific pieces of personal information we have collected, used, and disclosed about you.
Right to Delete: You have the right to request that we delete personal information we have collected from you, subject to certain exceptions (e.g., to complete a transaction, detect security incidents, comply with legal obligations, etc.).
Right to Opt-Out (No Sale): We do not sell your personal information, so this right is not applicable.
Right to Correct: You have the right to request that we correct inaccurate personal information we hold about you.
Right to Non-Discrimination: You will not be discriminated against for exercising any of the above privacy rights.
Because Voxi Note does not have user accounts, we cannot directly verify your identity through login. If you wish to exercise the above rights (e.g., request deletion of recordings we may hold about you if you have used cloud processing features), please contact us using the methods in Section 1 (by sending an email to a18629525093@outlook.com). We may need you to provide additional information to verify your identity (e.g., approximate timeframe of device usage, device model, etc., to help us locate relevant records in server logs) before processing your request. We will endeavor to respond to your request within the timeframe required by applicable law (45 days).
Voxi Note is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian of a child under 13 and you believe your child has provided us with personal information, please contact us immediately using the contact information above, and we will take reasonable steps to delete such information from our records.
Security Measures: We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. However, please be aware that no method of internet transmission or electronic storage is 100% secure.
Data Retention:
Local Recordings: Recordings saved on your device are under your control, and we cannot access them.
Cloud Processing Records: When you use AI transcription/summarization features, the recordings you upload and the generated text are retained on our servers for a limited time after processing (typically not exceeding [e.g., 30 days]) to allow you to download or access them again. You can also manually delete these cloud records at any time via in-app functions. After that, these files are automatically deleted or anonymized.
Logs and Usage Data: We typically retain de-identified usage logs and crash reports for a reasonable period (typically not exceeding 12 months) for analysis and improvement purposes.
We may transfer your information (for example, when you use AI processing features, recordings may be transferred to servers located in the United States or other countries operated by us or our service providers) to jurisdictions outside your country of residence. These countries may have different data protection laws. We will take appropriate safeguards (such as relying on Standard Contractual Clauses) to ensure your information receives the protection promised in this Privacy Policy.
We may update this Privacy Policy from time to time. When we make material changes, we will post a notice within the app and update the "Effective Date" at the top. We encourage you to review this Privacy Policy periodically to stay informed.
