VAVA Middle School Attendance Policy
If a student is missing 1 or more live classes:
o Email teacher(s) directly to let them know of the student’s absence from class.
o For each missed class, the student must view the recording and complete the engagement assignment as outlined in the recording.
If a student is missing 1-3 consecutive FULL days of school (not completing coursework OR attending live classes)
o Email teacher(s) directly to let them know of the student’s absence from class.
o For each missed class, the student must view the recording and complete the engagement assignment as outlined in the recording.
o All assigned work must be completed upon return to school. If the absence is planned, students are encouraged to work ahead, prior to the absence.
o The Learning Coach enters ‘0’ for attendance for each subject.
If a student is missing 4+ consecutive FULL days of class (not completing coursework OR attending live classes)
o Email vavaextendedabsence@vavirtual.org regarding the student’s extended absence.
o For each missed class, the student must view the recording and complete the engagement assignment as outlined in the recording.
o All assigned work must be completed upon return to school. If the absence is planned, students are encouraged to work ahead, prior to the absence.
o The Learning Coach enters ‘0’ for attendance for each subject.

Logging attendance in the OLS is very easy, especially if you take the time to do it daily as recommended. Be sure to refer to the How to Log Attendance in OMHS video for additional support.
If a student misses 1+ Class Connect sessions for the day but is working on OLS, Canvas coursework, then email the Class Connect teacher(s) to notify them. No other action is needed other than to have the student watch the recording of the class missed and complete the required assignments.
Attendance is entered into the OLS by the Learning Coach within the Learning Coach account. When you click in the box to enter attendance for a specific course, you will see a number pop up. This number is the default attendance time for this subject. If your student spent less time on that subject for a given day, please leave the default attendance time provided by the OLS. If your student spent more time on that subject, then insert the number of minutes your student worked on that subject. In other words, do not decrease the default time, but always feel free to increase it to accurately reflect the amount of time your student worked.
Some Learning Coaches like to log attendance on a notepad throughout the day and then enter it all at one time. NOTE: Attendance must be entered daily. Learning coaches will be contacted after ONE day of missing attendance.
The Commonwealth of Virginia requires 990 attendance hours for all students. Students should log an average of 27.5 hours of attendance each week to achieve this goal. Please refer to the expected attendance chart all students receive on their start date.
Middle School PE students are expected to complete the lessons as assigned in their OLS course and enter the total amount of PE attendance that corresponds to the time spent on the assigned activities. A minimum of 30 minutes of PE attendance must be logged each school day.
VAVA students are required to log a minimum of 30 minutes of activity for PE each school day. The maximum number of PE hours you are permitted to log is 8 hours per week. Students are provided with a fitness log and fitness plan in the introductory lesson of each unit. The fitness plans provide opportunity for student choice. Live class connection sessions are another way for students to fulfill the 30-minute requirement.
Additional time spent working out can be logged as supplemental hours. Supplemental PE activities include, but are not limited to:
Swimming lessons
Athletic training
Baseball practice
Playing in a soccer game
Power walking with an adult
Riding your bike
VAVA students are learning all the time, not just when they are completing their OLS coursework. Supplemental activities are any activities that can be considered educational, including but not limited to, trips to the library, visits to museums, attendance at VAVA outings, volunteer work, participation in clubs, and music lessons. You are encouraged to enter the maximum of 8 hours of attendance for supplemental activities each week.
All VAVA students are required to attend their required Live Class Connect sessions and complete associated engagement activities assigned by each teacher. Students who miss a required Class Connect session are required to (1) view the recording of the session within one week of the live session date and (2) complete the engagement activity by the teacher deadline. Doing so enables students to benefit from VAVA teacher instruction and prevents them from falling behind.
Engagement comprises 15% of the student’s semester grade for each course. Reminder: email teacher if only missing any live session.
VAVA students are required to log a minimum of 30 minutes of activity for PE each school day. The maximum number of PE hours you are permitted to log is 8 hours per week. Students are required to maintain an updated fitness log throughout the year (copies are provided by the teacher).The required fitness plans that provide the exercises for students to complete are located within the OLS lessons.
Supplemental PE activities include, but are not limited to:
Swimming lessons
Athletic training
Baseball practice
Playing in a soccer game
Power walking with an adult
Riding your bike
Supplemental Hours:
A supplemental activity is any activity that is educational in nature, but does not relate directly to the curriculum. Students are allowed to log a maximum of 8 supplemental hours per week. Please log your permitted hours each week (you never know when you may forget an activity or if you have more than the allowed 8 hours during another week). Logging these hours each week will help you reach the minimum attendance requirement of 990 hours.
Supplemental activities include but are not limited to:
Creative writing
Arts and crafts
Nature walks, Journaling and discussing what was seen (looking up bugs, plants, trees, etc. on the internet)
Educational TV (i.e., The History Channel, Discovery Channel, etc.)
Educational games
Educational family outings
Leisure reading
Volunteer work
Participation in clubs
Religious education
Boy scout/girl scout activities
Tip for Logging Supplemental Hours: rather determining how much time was spent engaged in supplemental activities each day, consider adding the entire 8-hour block of hours each Saturday or Sunday.
