Read EVERYTHING closely. You need to know how it all works.
BEFORE YOUR FIRST DAY
Download Zello walkie-talkie app or use the QR on the left to join the event team.
Once in Zello, join the channels for your scheduled days.
Get your clothes together (seriously). Attire is important for this event- it's a measure of our professionalism.
Options are "teacher-chic" OR "rep your SOM unit". Feel free to include USF colors.
AT SHIFT START
Arrive 10 minutes before your start time and check in with the shift leader (Concert Hall lobby table).
After check-in, head to your post for briefing by the outgoing team member.
DURING SHIFT
Keep your phone handy for voice and text updates via Zello.
Limit voice com to those moving people around the building (shift leaders + bus greeters, gold and green guides)
AT SHIFT CHANGE
Brief your replacement
Check out with the Shift Leader at the Concert Hall lobby table.
Mute the channel. If it's your last shift of the day, leave the channel. If it's your last shift for the week, delete the app.
ABSENCES / TARDIES
If you are sick or have to miss your shift, FIND A SUB. This is your responsibility.

HOW TO BE A...
Shift Leader
Bring your laptop. Keep all of the event links open for quick reference. Also, pull up USF visitor info pages for quick answers to parking and other questions.
Stay at the Concert Hall lobby table. You are the point of contact for the FVA team, SOM event staff and our MPA volunteers. They need to know where to find you.
Relay communication. Be on text chat with the FVA team and Zello with our volunteers.
Troubleshoot. Problems with volunteer staffing and group movement are yours to solve. Be ready for anything. If you have to leave your post for an emergency, pull the Bus Greeter or the Brown Guide to cover the lobby table.
Be the help desk. People will ask where the bathrooms are, where to park, how to pay for parking, where to eat, and more. Your job is to know things that help people. If you don't have an answer, know where to look online.
Bus Greeter
Stand outside the Concert Hall doors and watch for busses. As they arrive:
Greet the choir director and send them backstage to check in with FVA.
Greet the bus driver and offer a bus parking pass and map.
If they don't plan to park on campus, keep both for another driver.
Direct the chaperones to lead students to the Concert Hall, unless the shift leader or choir director has given other instructions.
Ensure that busses leave after drop-off. Busses may not park anywhere near the building, especially in front.
If a driver refuses to comply, call the Shift Leader to help you.
Brown Guide
Guard the house left doors from exiting groups.
Sit in the Concert Hall, house left.
When groups are called to warm up, "bump" them house right to meet the Gold Guide.
Individuals may exit house right, but never whole choirs. Group movement is only through the house right doors.
Gold Guide
Guide groups from the Concert Hall to the CRH (Choral Rehearsal Hall)- first floor, room 119.
Sit in the Concert Hall, house right. When groups are called to warm up, wave them to you at the house right doors.
Hold groups outside CRH at the first set of doors (across from room 116).
When their director is with you and the exiting group is all clear, lead them into the room.
Before you leave, say this exactly:
The next guide will arrive 5 minutes to performance time . This is your 2-minute warning. Stage approach begins 3 minutes to performance time. Thanks and have a great performance!
Green Guide
Guide groups from CRH to backstage (Concert Hall).
Enter CRH 5 minutes the choir's performance time. This serves as their 2-minute warning. Be on time.
3 minutes to performance time, lead the group back stage to the stage left door (far side). When everyone is clear of the stage door, close it and return to CRH.
If you're back at CRH before your 5 minute call, wait outside. Close the stage door behind them
Backstage Guide
Float backstage to help direct traffic as follows:
Choir directors to the Green Room for director check-in
Entering groups to the stage left door.
Exit groups out the stage right door toward the lobby (through the front corridor).
Have them follow the purple signs to the Conference Center.
Judge Runner
Run score sheets from judges to the FVA team (Green Room).
After checking in for your shift, go to the Green Room for briefing with the FVA team.
Collect and deliver to the FVA team per their instructors. They will tell you when to circulate for pick-up/delivery.
Between runs, wait where the FVA team tells you. Do not move from those spots without checking in with them.
At the end of your shfit, check out with the FVA team before checking out with the Shift Leader.
Announcer
Announce groups before each performance. This includes calling groups to go warm up.
After checking in for your shift, go to the Green Room for briefing with the FVA team.
Between announcements, wait backstage near the stage right door. Do not move from this area without checking in with the FVA team.
At the end of your shfit, check out with the FVA team before checking out with the Shift Leader.
Usher
Support audience ettiquette for entry/re-entry.
Sit outside the Concert Hall entrances to keep people from entering while groups are singing.
Allow re-entry only during applause, preferably between groups.
