You can complete the direct deposit form at My ASU after your Offer Letter Hire Date.
Your direct deposit will be activated two weeks after you enroll. If payment is issued to you in the two weeks following enrollment, payment will be made by check and mailed. Remember to keep your address current through My ASU.
Setting up a bank direct deposit is required. However, if your direct deposit was not submitted in time for payroll please note that all paper checks are mailed to your "home" address that you posted on your MyASU profile.

Employees can view their most recent and past paychecks online through My ASU. In My ASU, go to the Employee Info tab > My Employment > Payroll > View Paycheck.

The best situation is that student workers immediately set up a direct deposit. This can be done in MyASU. By visiting My ASU > Staff > My Employment > Payroll > Direct Deposit.. Direct deposit changes are allowed up to the Wednesday night before the pay period ends. (adjusted for holidays).
If students do not have direct deposit, a physical check is mailed to their HOME address in MyASU. They have until the Monday before payday to update their address (adjusted for holidays).
If they have a direct deposit set up but either closed the account, changed accounts or entered an incorrect bank account, and their funds were not received, once payroll gets a notification from the bank that the deposit was rejected, payroll will check the employee’s direct deposit information. If it has been updated, then payroll will automatically reissue via direct deposit. If it has not been updated, payroll will contact the employee. Reissues are done as direct deposits as long as your bank information is updated. The new deposit would be 2-3 business days from the reissue date. It all depends on the timing of the employee’s bank.
The checks are held if the student had an out-of-the-country address when payroll was processed. An email is sent to the employee to either sign up for a direct deposit or update their address to something local under Home address. Once the change is made and payroll is notified, payroll will reprocess/resend the check.
If students had an old address when payroll was processed, depending on the circumstance, they should first check if that location has their check.
If not, they will need to wait a few days to see if the check is returned in the mail to payroll. Payroll will contact the employee if returned.
If payroll needs to reissue the payroll check, please see Tami Lopez so instructions can be sent to the student.
FYI - the student will need to fill out a form (warrant replacement form) that needs to be notarized for each check they need to be replaced.
If their address is correct but not received after a week, a warrant replacement form will need to be filled out in order to reissue.

General Info
FWS is a federally funded campus-based program designed to create additional job opportunities for students eligible to participate in need-based financial aid programs.
The hiring department pays only a percentage of the student's wages; the federal government subsidizes the remaining portion.
The program encourages community service work and work related to the student's course of study.
An FWS award is not disbursed in a lump sum, but through bi-weekly paychecks for hours actually worked. Therefore you must meet eligibility requirements throughout your employment.
A FWS award will NOT automatically credit your university charges.
FWS is awarded as part of your financial aid package. In order to activate your FWS award, you still need to apply and be hired in a FWS job. As an incoming student for the fall semester, you may start working in a FWS position on the first day of fall classes. Once all the federal funds have been committed, the program closes.
As a FWS employee, you are limited to earn the amount of your FWS award. Once you reach your earning limitation, the employer has the option of continuing your employment under the Hourly Employment Program. Due to budget restrictions, there is no guarantee for an hourly continuation. You may need to seek other employment.
Paychecks will be available in your department (or at the Cashier's Office of the Tempe campus for off-campus FWS jobs). You may also enroll in direct deposit through MyASU under the Employee Self Service and Payroll & Compensation section.
FWS employment must end the day of graduation.
FWS earnings are considered taxable income by the IRS.
Important FAFSA Information—when you complete your FAFSA for the next academic year, you need to deduct your FWS earnings from your reported income using Worksheet C. FWS earnings are considered financial aid and are not included in the calculation of your EFC.

Enrolled at least half-time at ASU
Undergraduates = 6+ credit hours
Graduates = 5+ credit hours
How to Apply
Submit a Federal Work-Study Adjustment Form to request a FWS award. You will need to return the form to:
Financial Aid & Scholarship Services, P.O. Box 870412, Tempe, AZ 85287-0412 or fax to 480-965-9484.You may not work during the hours you are scheduled to be in class.
US citizens or eligible non-citizens may not work more than an average of 25 hours a week (or 62.5 percent FTE) over a rolling twelve month period. This maximum applies to the combined total of all jobs, including hours associated with stipends paid for services. Graduate Assistants may work a total of 20 hours per week.
On-Campus FWS Program: Offers jobs on all ASU campuses.
Off-Campus FWS Program: Provides employment opportunities in federal, state and local public agencies or private non-profit organizations.
Community Service FWS: Engages students in improving the quality of life for community residents available on- and off-campus. Under Job Search, enter "Community Services FWS" in the Keyword text field when searching for these jobs.
America Reads: In partnership with a public school or school district, reading tutors lead children in elementary school through the 9th grade in developing basic reading skills and academic confidence through literacy activities.
America Counts: In partnership with a public school or school district, math tutors lead children in elementary school through the 9th grade in developing basic math skills and academic confidence.
Have a completed FAFSA for the current academic year on file and be eligible for need-based aid.
Enroll in summer classes.
If you are not enrolled for summer sessions:
Have a completed FAFSA for the current academic year on file and be eligible for need-based aid.
Have a completed FAFSA for the coming academic year on file and be eligible for need-based aid.
Your FWS earnings during this time of non-enrollment will be considered as a resource for the next enrollment period, which could affect your financial aid awards for the coming academic year.
The application process can take up to 30 minutes. To speed up the process, have your resume, cover letter, and 3 references completed before starting the process. Uploading your resume and cover letter is recommended.

You are now part of the ASU workforce and your department depends on you. The following are your responsibilities as a student employee at any ASU campus:
To complete a new hire packet within 72 hours, if you have not worked for ASU during the last 12 months, and submit it to the Human Resources department located on your campus.
To maintain enrollment necessary for student employment eligibility.
To coordinate your work hours with your supervisor according to the department's needs and your own class and study schedule.
To perform assigned duties promptly and competently.
To be dependable and always report to work on time-excessive tardiness or absenteeism is grounds for disciplinary action.
To arrive at the office prepared to work - refrain from studying or conducting personal business (phone/email) on the job.
To refrain from having family or friends visit during scheduled work times.
To attend all student staff meetings or training sessions unless you have a scheduled class or exam.
To not work at your job during times you are scheduled to be in class.
To observe policies on confidentiality for all University, department, and student records, and information.
To schedule your lunch and rest breaks in advance and get your supervisor's approval.
To not eat or study during your scheduled shift, unless approved by your supervisor.
To maintain appropriate dress and personal grooming.
To notify your supervisor in advance if you will be absent from work - frequent absences are a justifiable cause for dismissal.

To not work more than 20 hours per week during the academic semesters if you are an international student on a visa.
To keep an accurate record of hours worked and submit correct payroll information to your supervisor by the stated deadlines.
To inform your supervisor of any plans to end employment. The customary notification time period is two weeks.
To stop your Hourly employment two weeks after your graduation from ASU, unless you are enrolled for the next semester.
To stop your employment on your graduation day as an undergraduate international student.
