Acme, Inc. is seeking a highly motivated, talented, and experienced professional to serve as an Administrative Assistant to join our team. This individual must have the ability to multi-task, while maintaining complex schedules and possess exceptional organizational and time management skills.
Essential Duties and Responsibilities:
Greet clients/customers and visitors.
Providing customer service to internal and external customers by phone, email, and in-person.
Maintain scheduling, event calendars, and support personnel with travel arrangements and logistics.
Gather and consolidate information and data to be used for briefings and meetings.
Conduct the recording of meeting minutes and distribute to appropriate personnel.
Coordinate operational activities.
Execute sales or other financial transactions.
Prepare and reconcile financial statements/reports.
Maintain files of bills and invoices, assist month-end closings.
Provide administrative support such as filing, paperwork processing.
Manage and organize office supplies inventory.
Job Specifications:
High school diploma or equivalent required; no certifications required.
Demonstrated success in similar roles with a minimum of two years of hands-on experience.
Basic technical skills, phone etiquette, operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
Knowledge of MS Office applications
Ability to maintain a certain level of flexibility in many different aspects of the workday
Time Management- managing personal time as well as the time of office staff
Intrapersonal Skills- advanced communication and organizational skills for both clients and office staff.
Ability to work autonomously; independent in planning time and using assigned resources to accomplish tasks or small projects.

Work Environment / Schedule:
Environment: Primarily office-based with occasional off-site meetings or events.
Emotional Environment: Collaborative and focused, productive, with occasional high-pressure situations.
Work Schedule: Monday - Friday 40-hour work week. No overtime is required.
Travel: Minimal, if any, travel required.
Light work no heavy lifting over 25 pounds.
