The following configuration is for the most common setup in most Scan to Email cases.
First, verify that the configuration is correct with this information:
Basic Gmail info:
Gmail SMTP server address: smtp.gmail.com
Gmail username: example@gmail.com
Gmail SMTP pw: 16-digit Generated App Password
Gmail Port: 587 (25 worked - Test to Confirm)
DNS Configuration:
For best practice, perform a COM-TEST of the device, and if this test succeeds, this confirms that the DNS configuration shall work with this configuration for scan to email.
If the device does not pass a COM-TEST, set DNS1 of the device to 8.8.8.8 (Google DNS), and DNS2 to whatever is configured as the customer's primary DNS in their environment.
The customer may have TCP port 587 in their network blocked. After all device troubleshooting steps (and COM-TEST is successful) have been exhausted, check with the customer IT or network specialist if they may whitelist all traffic on this port. In some rare cases where 587 absolutely cannot be used, use port 465 only as an alternative, and ONLY with GMail
ImageCLASS
I noticed the smaller model MF 1333 was not connecting to the smtp server over the wireless. I had to hardwire and then it began to work. I did not try updating firmware.
When troubleshooting I was able to get other ImageRUNNERS and imageCLASS MF1440 to connect just fine. I even tried to transfer all settings via IMPORT/EXPORT and did not have any luck. I noticed it was all tied to the same model MF 1333C not connecting to the smtp server.
Go to account>Security and enable 2-Step Verification. Will need to add a Cell number.
"Search Google Account" top of page: App Passwords
Create app specific password name and hit Create.
Google will generate an app password. Take a photo. 16 digit password does not have spaces when configuring.
Note: You might get a security Gmail or notification after configuring and testing asking to confirm it is you trying to use the account. If you don't confirm it's you, your scans might get blocked.
