Terms and Conditions of Hire
It is important when you hire or use Tableland Hall that you read and understand these Terms and Conditions of Hire. They do apply in all cases, whether you have formally agreed to them or not.
These terms and conditions apply to all those who book and use Tableland Hall. They are part of an agreement between the Tableland Public Hall Association Inc and the hirer, who may be an individual or an organisation represented by an authorised person.
All the conditions, plus any special conditions, apply unless specifically excluded in writing. The hirer must be made aware of these terms and conditions at the time of booking. The hirer must abide by them and ensure that those who use the Hall in conjunction with their booking act in accordance with them.
It is assumed that anyone hiring the Hall on behalf of an organisation is authorised to do so.
Hire Fees, payment, invoicing and bonds
Fees for all bookings are charged individually, in accordance with the Schedule of Charges.
These charges will be confirmed when a booking is made with a Tableland Hall Committee representative.
Bookings are not confirmed until payment of the required Bond has been received. Bond must be paid within 7 days of the hall committee receiving the booking request form and no less than 48 hours prior to the event date (if booked within 10 days of the event taking place), or prior to key collection, whichever comes first. 100% of the bond is required to secure your booking. If the bond has not been received within these terms, the Tableland Hall Committee reserves the right to cancel your booking.

A bond will be required in some circumstances, as set out in the Schedule of Charges. The hall, it's facilities and surrounding areas will be inspected by two members of the Tableland Hall Committee on completion of hire to make sure everything was returned back to the way it was. If any of the guidelines have not been followed, a portion or all of your bond will be forfeited. If there is damage done to any of the building, facilities or surrounding areas, beyond what your bond covers, you may be responsible for it.
Upon completion of the Hall inspection, your bond, or portion of, will be returned to you within 14 days by direct deposit.
Confirmed Bookings
Once the required bond/s have been received, the Hall will not be hired out to any other user at that time without the prior agreement of the hirer. Where a booking has been made, but bond not received within the given 7 days, the “booking slot” may be given to someone else.
Cancellations by the hirer and cancellation charges
Cancellation rules and charges are set out in the Schedule of Charges.
The Tableland Hall Committee will be reasonably flexible in relation to modifications, postponements and cancellations, but reserves the right to make cancellation charges in accordance with the rules specified.
Cancellations by the Tableland Hall Committee
The Tableland Hall Committee reserves the right to cancel a booking by written notice in the following circumstances:
In any such case the hirer shall be entitled to a refund of any bond/deposit already paid, but the Tableland Hall Committee shall not be liable to the hirer for any resulting direct or indirect loss or damages whatsoever.
Access to the Hall/time periods of hire
Bookings relate only to the specific days and times hired. Event preparation and post clean up times can be arranged with the Tableland Hall Committee.
Use of premises, supervision
The hirer (or authorised representative) must be present during the period of hire and ensure that these terms and conditions are observed. Use of the Hall and surrounding area must always be responsible, with respect to the facilities and equipment. The hirer shall be responsible for supervision of the premises and facilities and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements so as to avoid obstruction of the roads and surrounding neighbours.
The hirer will be responsible for leaving the premises and surrounding area in a clean and tidy condition; all rubbish removed from the premises; utensils and equipment put away; lights, taps, oven, water pump, equipment etc all turned off; the building itself secured unless directed otherwise; and any contents temporarily removed from their usual positions properly replaced.
The basic rule is that the hall, surrounding areas and all facilities should be left as they were found.
The hirer shall pay for all damage (including accidental damage) to the premises or to the fixtures, fittings or contents and for loss of contents. Costs for damages or additional cleaning charges will be deducted from the held bond. Should this cost be greater than the held bond an additional invoice may be issued to the hirer.
The hirer shall not use the premises for any purpose other than that described at the time of the Booking; shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way.
Smoking
Smoking is not permitted within the Hall. Smoking is only permitted in the area signposted. Cigarette butts must be disposed of in the bin provided.
Fire or Emergencies
All Hirers must make themselves, and any individuals using the premises as part of their Hire, aware of emergency escape routes, meeting points and fire procedures.
No Alterations
No alterations or additions may be made to the premises. Decorations or other articles must not be attached in any way that could cause damage to any part of the premises without the prior written approval of the Tableland Hall Committee (ie: no use of nails).
No Overnight Stays
Due to fire regulations, absolutely no overnight stays are permitted inside the Hall building.
No Open Fires
Absolutely no open fires are permitted within the Hall building or Hall grounds.
Removal of Rubbish
All rubbish must be removed from the premises on vacating the hall. Do not leave rubbish in the Hall bins, as we do not have a Council waste service. Any rubbish left in the Hall or grounds may incur a waste removal fee.
Hall Keys
Hall keys must be signed out by the hirer, or authorised person, and returned immediately after completion of the booking. Keys must not be copied. Loss of keys may incur a charge for new locks to be fitted.
