Presentation guidelines

Talks

All talks will be streamed via Zoom.

If you are using slides for your presentation and you are present in Aarhus, please use Powerpoint or pdf format, and bring them on a USB flash drive, send them to us on sysmus21@gmail.com or have them online somewhere, so that you can easily access them from the computer in the auditorium. You can not use your own laptop for your presentation. If you are presenting virtually, you can use the ‘share screen’ function in Zoom. Please remember to also share audio if you have any sound elements in your presentation.

At the beginning of the break before your presentation, please come directly to the podium (or stay in the Zoom-meeting, if you are a virtual presenter). Here, the chair and a technical assistant will help you check that everything works with your presentation.

Each talk is allocated a slot of 20 minutes, with 12 minutes for the presentation, 5 minutes for discussion, and 3 minutes to prepare for the next talk. Please keep this time limit in mind! The chair will notify you when you have two minutes left of your presentation.

In the “Online mingling” session scheduled in the programme each day, we would like to give virtual participants a chance to talk casually with the oral presenters from that day in Gather.town. Each session of talks will be allocated a table in the Gather.town space, and as an oral presenter we really hope that you will be there so that interested participants will be able to find you and talk to you about your presentation.

Posters

All poster sessions will be held virtually on the online platform Gather.town. All participants, both onsite and online, will be moving their “avatar” around in the conference space using the keyboard’s arrow keys.

For this reason, you will need to provide your poster files (see details below) by 27 October 2021 to be added to your designated virtual poster board in the Gather Town poster room prior to the conference. If you cannot make the deadline, please be aware that posters not received by Sunday 31 Oct will be considered withdrawn.

Poster presenters are asked to send three files to sysmus21@gmail.com – please put "Poster [Lastname] [First name]" in the subject field:

  1. Main document (Please provide as high quality as possible)

    • .jpg format is the only file type that may be used.

    • Rename it as Lastname_Firstname_PosterSysMus21.jpg

    • Maximum file size is 3MB.

    • No transparent background.

  2. Preview “thumbnail” document:

    • .jpg format

    • A copy of the main poster document that has been made smaller.

    • Rename it as Lastname_Firstname _PosterSysMus21_thumbnail.jpg

    • Recommended width and height are half of the main document.

  3. Pdf file

    • A high-quality pdf file

    • Rename it as Lastname_Firstname _PosterSysMus21.pdf

We have created a demo space for you to view some different poster formats: https://gather.town/i/5qa6B98a. You can see the different formats at the posters witht he following numbers:

  1. A0: Portrait

  2. A0: Landscape

  3. 135 cm x 76: Landscape

If you are unfamiliar with the poster genre, we also added three demo posters presented by members of the organizing committee at the conference Neuromusic VII in June 2021 to familiarize you with the concept.

Poster Blitz

All poster presenters have to prepare a video with a maximum length of 45 seconds for a “Poster Blitz” that will take place at the beginning of each poster session. For the video, please include 1-3 slides that include your poster title, authors, and the main points and results you think will generate interest in your poster. Please send the video to sysmus21@gmail.com until October 27. Name your video "Poster Blitz [Lastname] [First name]".
