TRAVEL AND REIMBURSEMENT GUIDELINES
Reimbursement Policies
The Expense Reimbursement Guidelines provide guidance on all travel and reimbursement policies. NAEd will cover travel to/from DC, per diem meals on travel days, and up to three hotel nights (four for West Coast or international participants).
Booking Travel
You have the option of booking your own travel and being reimbursed after the event or booking through the NAEd travel agent.
If you book on your own, please contact Maria Gahan (mgahan@naeducation.org) for approval before booking if costs will exceed $500.
To book through the NAEd travel agent, please send the Travel Request Form to Grace Thomas-Clark (grace@wwtainc.com).
Grace will provide an itinerary for your review and approval. The itinerary is not your ticket. You must approve the itinerary before Grace will issue a ticket.
Please make sure you download the document before filling it in. Completing the document in your browser and then downloading it to save often results in a blank form.

Airports: Three airports service the D.C. Metro Area:
Reagan National Airport (DCA) is the nearest airport to downtown D.C., located 4.7 miles from The Renaissance and 4.4 miles from Hotel Monaco. Estimate a 12 to 20-minute drive from the airport to the hotel without traffic. Reagan National is accessible by the D.C. Metro.
Dulles International Airport (IAD) is 26 miles from downtown D.C., located 28.1 miles from The Renaissance and 28.6 miles from Hotel Monaco. Estimate a 40 to 60-minute drive from the airport to the hotel without traffic. Shuttle and taxi services are available. (Dulles is now accessible via Metro!)
Baltimore-Washington International Thurgood Marshall Airport (BWI) is 35 miles from downtown D.C., located 32.2 miles from The Renaissance and 34.9 miles from Hotel Monaco. Estimate a 55 to 70-minute drive from the airport to the hotel without traffic. BWI is accessible by MARC and Amtrak rail service; both provide service to Union Station.
Train Station: Amtrak offers regular service to Union Station in Washington, D.C., from cities along the Northeast Corridor and beyond.
