Policies & Procedures

Mentor Expectations

Mentors will:

  • Sign-up on the Let's Talk Science Portal and log their volunteer hours.
  • Attend one of the orientation sessions (October 29 or November 5) or meet with the mentorship coordinator before starting mentorship.
  • Attend each mentorship session.
    • If a mentor has to miss an in-person session, due to illness or an excused absence, they will contact the mentorship coordinator and the other members of their mentorship pod.
    • Continued commitment is very important to the mentorship program. If a mentor determines that they need to leave the program after the November 6 commitment deadline, we ask that they find a replacement mentor.
  • Be prepared for each mentorship session.
  • Behave respectfully towards their fellow mentors and towards the Britannia students.
    • Be mindful of their language (both by avoiding foul language and using the language of instruction)
    • Be attentive, non-judgmental, and open when speaking with fellow mentors and students.
  • Have fun!

Before being assigned to a group, mentors must agree to these expectations here.

Additional Visits/Field Trips

Mentors are allowed to bring their students on relevant field trips, e.g. to the mentor's lab to use equipment. However, there are several important policy notes:

  • Additional visits must have two mentors present (or one mentor + the mentorship coordinator).
  • Criminal background checks are required.
    • Talk to the mentorship coordinator as LTS has resources to cover costs.
  • Completed parental consent forms are required.
    • Forms can be obtained from teachers or Deborah.
  • Log your hours and inform mentorship coordinator.

Materials and Expenses

Obtaining Materials for Projects

  • –Britannia and LTS both have lots of materials.
  • –We have a small budget to reimburse students or mentors who buy items for their project (ideally, no more than to $20 per group). Students must give receipts to the mentorship coordinator.
  • Larger expenses likely can be reimbursed, but make sure you or the students talk to the mentorship coordinator before purchasing.
  • Check with –other mentors - the materials you need may be readily available to them.

Reimbursement

If you spend money on mentorship, you can be reimbursed for it.

Likely reasons to spend money on mentorship include

  • Buying supplies for students
  • Using carshare or personal vehicles to get to Britannia.

If you have an expense in another category, please check with the mentorship coordinator before submitting an expense claim.

Submit expense claims following the general UBC Let's Talk Science procedure for expense claims.
