Prefer that the show not be held in conjunction with any other community events
Prefer that the show not be held on the same weekend at the AQS show in Mesa
Prefer that the show be held in the same rooms in the Chaparral Center (Hopi, Pima, Apache) as past two shows
Prefer to have Take-In, Volunteer Support, Quilt Return be in the Havasupai Room as before
Admission fee will be $5.00, Volunteers with ribbons will be admitted for free
There will be no theme for the show; however, we will encourage members to mention their "Inspiration" in their written quilt descriptions.
The name of the show will be "Cactus Needles Quilt Show at The Grand" and will include the street address in Surprise, AZ of the venue in the publicity.
We will hold monthly Quilt Show 2024 meetings throughout 2023 on the 4th Wednesday of each month at 3pm in the Stitchers Room.
The Quilt Show Co-Chairs, Susan Hobbs and Chris Dishman and the President of Grand Stitchers Club, Connie Bollard, met with Heather Nelson of CAM to discuss the plans for the 2024 Quilt Show as pertains to Room Scheduling.
Heather explained the timing and the forms required for Room Scheduling. Those forms must be submitted by the President of the club by May 1, 2023. The official Room Schedules for 2024 are finalized and reported back to the clubs in September 2023.
While she noted our preferences, she said she couldn't do anything about Room Reservations until the official process begins in May 2023. She also suggested that we might consider using the Gila and Agua Fria rooms in the Cimarron Center.
committee descriptions and chairs
special exhibit
quilt challenge(s)
30 members met in the Stitchers Room. During the meeting discussions were held about Committee Chairs, Committee Descriptions, Judging of Quilts, Vintage Linens for a special exhibit, and possible Group Challenges
A list of committee chairs was read off and each volunteer chair was asked individually if they would continue their chairmanship for the 2024 show. A list of the chairladies is available on the website. Each chair has been asked to enlist a co-chair (assistant, backup) to ensure the show and future shows flow smoothly in cases of emergency or necessity.
Descriptions of each committee's responsibility, work, and designated time/days are posted on the website so members can read and decide where and how they would like to contribute. Actual signup for committees will begin in September 2023.
There will be no judging of the quilts in the show. We want ALL members, from beginners to award winners, to contribute their work. We would like, however, to have a People's Choice ballot to provide the chance for viewers to select one (1) piece they admired. We need an organizer for this activity: (paper slips, pencils, collection box, tally and report results)
We asked Mary Tilstra to be part of a special display of quilts and other items made with vintage linens. The idea to tie in vintage linens with a theme of your heritage, roots, family, culture for a challenge section in the show was discussed. This could be accomplished by a quilt you already have or a new piece you create. Pieces can be whole quilts, small quilts, wall hangings, table runners/toppers, or simply as a label on the quilt of you heritage. Several members volunteered to share/provide linens for those who do not have access to linens and a workshop will be held to help with ideas. We are not looking for antique quilts to display as that was done during a previous show. We want to challenge members to make a heritage quilt that includes an appropriate linen. More details to come.
Ladies ! We are looking for ideas and conversation to form the basis for our next show. ALL are welcome to these meetings. The more members attending, the better the show will be. Please be in on the ground floor with us and make the next meeting.
publicity in all its forms: print, social media, in person
short presentation by a staff member from CAM about community publicity opportunities
We had budgeted for, ordered and received 13 new quilt racks. Today we had lots of help unboxing, check and labeling all the pieces. All were in good shape. Thanks to Jeanine, Judy, Lynn, Charlotte, Marjorie, Diana, Suzi and Shonna for helping out. Also thanks to Nancy M for arranging for the utility cart and the recycling of all the boxes.
The racks are now in the offsite storage unit waiting to be used next March. After the show, we will sell off the oldes t 13 racks. Stay tuned for details on that.
