PRIVACY POLICY — Rapid Grading System (RGS)
Last updated: 31 July 2026
Rapid Grading System ("RGS", "the app") is developed and maintained by Chittiprolu Srinivasu ("we", "us", "the developer"). This policy explains what information the app collects, how it is used, and how it is protected. RGS is designed for use by school teachers and staff to manage student marks, attendance, and report cards.
1. INFORMATION WE COLLECT
a) Student academic records (entered by teachers/school staff):
Student name, gender, roll number, class and section, subject-wise marks, attendance and working-days records, and phone numbers used for parent contact.
b) User (teacher/staff) account information:
The app signs you in anonymously (no email or password is required). We store your chosen role (e.g. Class Teacher, Subject Teacher, Principal, Admin), your name, phone number, and the subjects/classes you are authorized for, so the app can show you the correct data for your school.
c) School information:
School name, UDISE code, SSC code, address, phone number, and an optional school logo image you choose to upload.
d) Device and licensing information:
For license verification, the app sends your device's Android ID and, if you purchase a license, your name, phone number, and a self-reported payment transaction reference to our license-verification service. We do not collect or process your card, bank, or UPI account details — payment itself happens inside your own UPI app (PhonePe, Google Pay, etc.).
e) Push notification token:
The app uses Firebase Cloud Messaging to deliver reminders (e.g. marks-entry reminders, timetable alerts, academic calendar alerts). This requires a device notification token.
f) Basic usage analytics:
The app uses Firebase Analytics, which automatically collects standard app-usage information (such as app opens and general device/OS information) to help us understand app stability and usage. RGS does not show ads and does not use this data for advertising.
g) Optional Google Drive backup:
If you choose to connect Google Drive from within the app, we request access to your Google account email and a Drive file scope, solely to save or restore your own backup files. This is entirely optional and only happens if you actively choose to use this feature.
2. HOW WE USE THIS INFORMATION
- To let you record, view, and manage marks, attendance, and report cards for your school.
- To synchronize data in real time between every teacher's device at the same school, so everyone sees up-to-date records.
- To generate report cards and PDF/Excel exports on your request.
- To verify an active license for premium features.
- To send optional reminders and academic calendar notifications.
- To improve app stability and reliability.
3. HOW DATA IS STORED AND SHARED
- Student and school records are stored on your device (locally) and synced to Google Firebase Cloud Firestore, scoped to your specific school only. Teachers and staff at a different school cannot see your school's data.
- Data within your school is visible only to staff whose role/subject/class authorization permits it — for example, a Subject Teacher can see and edit only their own subject's marks.
- If a teacher chooses to use the "Parent Lookup" feature, selected student attendance/marks information is written to a Google Sheet that the teacher may share, at their own discretion, as a read-only link with parents.
- License and payment-verification requests are processed through a Google Apps Script service that we control, and recorded in a private Google Sheet for manual verification. This information is not sold or shared with any third party for advertising or marketing.
- We do not sell your data or your students' data to anyone.
- Data is transmitted using encrypted (HTTPS/TLS) connections.
4. DATA RETENTION AND DELETION
- Records remain available to your school until an authorized user (Class Teacher, Principal, or Admin) deletes them. Deleted student records are held in an in-app Recycle Bin for a period of time so they can be restored if deleted by mistake.
- To request deletion of your school's data, or any data associated with your account, contact us at the email below.
5. CHILDREN'S PRIVACY
RGS is intended to be used BY teachers and school staff (adults) as an administrative and academic record-keeping tool, not directly by children. Student academic records are entered and controlled by the school as part of its normal educational record-keeping, in the same way a school's paper registers or spreadsheets would be. RGS does not knowingly collect information directly from children, and does not permit students to create accounts or interact with the app themselves.
6. YOUR CHOICES
- You may use most features of the app without connecting Google Drive.
- You may request access to, correction of, or deletion of your data by contacting us.
- School administrators control who has access to their school's data through in-app role assignment.
7. THIRD-PARTY SERVICES
RGS relies on the following third-party service providers to operate:
- Google Firebase (Authentication, Cloud Firestore, Cloud Messaging, Analytics)
- Google Apps Script / Google Sheets (parent lookup sharing, license verification)
- Google Drive API (only if you choose to enable backup)
Each of these providers processes data under their own privacy terms as our data processor, and does not use your data for their own purposes.
8. CHANGES TO THIS POLICY
We may update this policy from time to time. Changes will be posted on this page with an updated "Last updated" date.
