Ensuring that all hospital departments, regardless of size or focus, stayed informed about relevant news and updates. The task was complicated by the diverse nature of the news, which ranged from internal staff matters to external media coverage, both positive and negative. Balancing these updates in a timely and sensitive manner was a significant challenge.
STEP #1. Establishing Clear Communication Channels
I identified key representatives in each department and followed the communication network set up by the hospital's communications and PR division, ensuring there was a designated point of contact for news dissemination.
STEP #2. Updating Floor Notice Boards Weekly
Every week, I coordinated with fellow interns to update the general notice boards on each floor of the hospital. We ensured that all departments received the latest updates by posting relevant internal and external news. This provided staff with easy access to important news in a consistent and accessible format.
STEP #3. Visiting Departments for Positive News Stories
I proactively visited different hospital departments that had positive news, such as a successful difficult brain surgery. I gathered information and interviewed the relevant medical staff to create short articles about these achievements. After drafting the articles, I published them in the hospital’s newsletter and shared them with the Communications and PR division via email, ensuring that the good news reached a wider audience in the hospital.
STEP #4. Monitoring Feedback and Adjusting Strategies
I encouraged departments to provide feedback on the effectiveness of the communication strategies. Regular feedback sessions helped me refine the process, ensuring that information remained relevant and that departments felt adequately informed.
