We recognize that international travel to the U.S. can occasionally involve visa delays or extended border screening, especially for scholars from certain regions. Please know that we are committed to supporting all RaAM 17 participants.
If you anticipate any difficulties or need additional documentation to support your travel, please don’t hesitate to contact us. We are happy to provide invitation letters, confirmation of participation, or other materials that may be helpful for your travel or visa process.
Please see resources below to support international attendees, such as visa information, requesting a visa support letter, and travel/customs tips for entering the U.S.
Visa Information
Most international attendees, if they do not qualify under the Visa Waiver Program (VWP), will need a B-1 (Business Visitor) visa.
Visa Waiver Program (VWP): Citizens of participating countries may attend without a visa for up to 90 days, but must apply for ESTA (Electronic System for Travel Authorization) prior to travel.
B-1 Visa: This visitor visa is appropriate for attending conferences, academic events, or professional meetings if you do not qualify for the VWP. Check here to ensure this visitor visa is appropriate for you.
Canadian Citizens typically do not require a visa or ESTA to attend academic conferences.
We recommend that international attendees apply for a visa or ESTA as early as possible, and no later than June 2025. U.S. visa processing and appointment wait times vary widely depending on your country, and early application reduces the risk of delays. You can check average U.S. consulate appointment wait times here.
Visa Support Letters
We are happy to provide official visa support letters to assist with your application. These letters include:
Confirmation of your accepted abstract or registration
Conference details and host institution information
To request a visa letter, please email the organizing chair (halazary@ltu.edu) with the following:
Full name as it appears on your passport
Passport number and country of issue
Your institutional affiliation
Accepted abstract title (if applicable)
Travel and Customs Tips
Ensure your passport is valid for at least six months beyond your planned stay.
Declare all items truthfully at customs and be entirely forthcoming about your trip. U.S. border security is strict. Here is a list of prohibited and restricted items.
Travel with a printed copy of your ESTA or visa, invitation letter, hotel reservation, and return ticket.
Please be aware that U.S. immigration rules prohibit B-1 visa and ESTA travelers from receiving compensation or working while in the country.
RaAM 17 participation is strictly unpaid.
Any travel grants are provided by RaAM (not the U.S. conference organizers) are solely to reduce your travel or lodging costs, and do not constitute compensation or employment.
