The proponents of extension programs shall adopt the flow of evaluation process based on the prescribed format provided by Extension Management Office (EMO).
Regular monitoring and evaluation of ongoing and completed extension projects shall be undertaken by the concerned Department together with its partners. Evaluation of activities shall be organized at the various phases of the project. The Extension Evaluation and Monitoring Center (EEMC) of the university is also involve in the assessment study after the implementation of the project in order to help the proponent in improving the delivery of its program. Guide questions can be considered in the evaluation and monitoring of the extension projects such as its relevance to the needs being addressed to, efficiency and effectiveness of the program, impact to the beneficiaries and their community, and its sustainability. The results then can be used in assessing the degree of importance and acceptance of the program by the community involved. The feedbacks can also be used in identifying the strengths and weaknesses of the program. It will guide the proponent in improving its program, and in finding appropriate solutions to the constraints that could ascend during the implementation of the project. Recommendations from all the groups involved will be helpful for the future extension activities of the department and its continuity.
To better serve the purpose of extension, the following strategies are adopted to achieve the objectives of the program upon approval of the extension proposal.
Conduct conceptualization session with the organizers. The concept considered is based on the result of the university community needs assessment among its adopted community and is aligned to the expertise of course program of the department.
Write letters of invitation to target individuals/ groups within the community. Part of the invitation is information about the project, its objectives and expected outcomes.
Creation of committee. Different committee is created according to the needs of the project. This is done to break down the tasks and determine who will do which task. The strengths and skills of each committee is matched according to their capabilities with their task.
Conduct series of meetings with organizers, partners and leaders of involved community/organizations. Necessary meetings are facilitated by the organizer/proponent prior to the actual conduct of extension to discuss other concerns or potential constraints that can hinder the implementation of the project. Progress report of the project is also highlighted during meetings by specific committee head.
Implementation of the plans/project according to schedule. This include what tasks had to be accomplished or completed prior to the actual conduct of the extension and identifies the allocated time for the work involved. Finalization of program also depends on the accomplished tasks.
Actual conduct of the extension project. The members of the organizing committee must be available to directly oversee the program proceedings and solve problems as they occur. Documentation of the whole program must be recorded.
Evaluation of the project. Feedbacks are gathered from the participants, organizers, and other stakeholders to complete evaluation of the project. The information from the feedbacks will be useful for future extensions. An evaluation form will be used to gather feedback from the participants. Questions will focus on the objectives being measured and other elements the organizers want to evaluate.
Impact Assessment. Identify factors/ reasons for failures and success of the extension project.
Formation of MOA between the parties involved. Authorized persons from the university will execute the MOA with involved community.

The priorities of the extension program of the Department is based on the capability and expertise of the organizers, needs of the community, availability of resources, and sustainability of the extension program.

As governmental policies ease to cope with the COVID-19 Pandemic, CTHTM Faculty Coordination Meetings regularly held every month onsite. Planning of extension activities is part of the periodic meeting of the TTMD.
