Admission
Admittance fees are determined by the organisation. Admission is only possible after registration and full payment in advance. You will receive a confirmation when you are admitted as a participant. We (the organisers) decide how many participants will be admitted. We always have the final say in who will be admitted and have the right to refuse anyone. In this case you will get a full refund. We’re not obliged to state a reason when declining a participant.
Declaration
As stated on the signup form:
“I am at least 18 years old on the date of the event and participate at my own risk. I have read the event website, Code of Conduct and Terms of Service. I will not hold the organisation responsible in case of an accident or loss/damage to my property. I am properly insured for damages during this event. I will only share photos of others with their consent. I understand Obscurus content is the intellectual property of the organisers. Therefore, I won’t use Obscurus content (such as character descriptions, setting and storylines) for publications, without written permission from the organisers. I will follow all rules, guidelines, and directives regarding safety and event regulations. I hereby state that I am mentally and physically healthy enough to participate in this event without causing any irresponsibility for myself or others. I will drink alcohol in moderation and not be intoxicated or under the influence of drugs during the event. I will observe the Dutch/Belgian law.”
Cancellation policy
When you can’t attend the event, you have the obligation to tell the organisation as soon as possible. Please only cancel in case of serious events like illness etc. It takes us a lot of time and trouble to find replacements in time. The price is for a sign up fee, not a ticket, so you can not sell your spot. This is because they are matched and assigned. It’s up to Obscurus to decide what happens with your character in case of cancellation.
On the signup page of the event a cancellation deadline will be listed, including administration costs. Fees will be returned minus administration costs. In all other cases no fees will be refunded.
First installments are non-refundable; if a second or third installment is not received by the specified deadline, we withhold the right to cancel your sign up. The first installment is also non-refundable, if you cancel while not having paid the second and/or third installment yet.
Event cancellation
In case of circumstances beyond anyone’s control (such as acts of God or Force Majeure), leading to the unforeseen cancellation of the event, not all admittance fees might be returned. This applies in case of: extreme weather conditions; major economical disruption; terrorist attack, nuclear or other environmental catastrophe; major earthquake; main transportation systems being shut down; cancellation by the venue because of a fire at the venue; bankruptcy of the venue or another imperative third party; prohibition of the event by police, fire-brigade or other authorities; death, coma or severe injury of a main organiser; etc. The return fees will be determined by the organisation, based on deposits paid to the venue, caterer and/or other third parties.
Right to expel
Obey the rules, costume requirements and regulations by the organisers. Also obey any rules of the venue and the Dutch/Belgian law. The organisation has the right to expel you from the event when you act irresponsible during the event, such as when you have severely overstepped in moral behaviour. It’s not open for debate; we always have the last say in this. If such a case might occur, we won’t return your admittance fee. In case of a crime, we will contact the police.
Damages
Any damage done to the venue or to others is at your own expense or insurance. Please use common sense. The organisation is not accountable for any loss or damages, nor for any health issues or injuries that happen during the event.
Copyright
The intellectual property of this event is in the hands of the two organisers. Do you want to use something for other purposes? Email us.
Use of photographs
Any participant agrees that photographs taken during the event can be used by Obscurus for future projects, promotion, website etc., unless stated otherwise at their registration form. Participants can use their own photos for private use. It is not allowed to use photos for publication in media or on public blogs without express permission of the persons on the photo.
Media
To ensure immersion and privacy of our participants, journalists or other third parties wanting to write or film for media or blogs are not allowed at our events.
GDPR Privacy statement
As stated on the signup form:
"By filling out this form, you consent to Obscurus using your personal data to organise this event for you and to verify that you are at least 18 years of age on the event date. Your personal data will be deleted one year after the event. If you give us consent through this form, we will keep your name and email address to be able contact you about future Obscurus events. With your consent, we will also keep any photos of you for future promotional purposes. The data will be accessible only to the two organisers and the event confidant and will not be shared with any third parties. If you do not agree with us using your personal details, please do not fill out this form."
