The Archdiocese is once again staying at the JW Marriott for NCYC!
The total fee that is paid to the host parish will include hotel room per person. For general information, the breakdown below is per person for the hotel portion of the fee (tax included) for all three nights. Click here to see the estimated total cost per participant.
• 2-Person Occupancy: $361 per occupant
• 3-Person Occupancy: $239 per occupant
• 4-Person Occupancy: $180.50 per occupant
Accommodations
Hotel accommodations will be at the JW Marriott in Indianapolis (www.marriott.com/hotels/travel/indjw-jw-marriott-indianapolis). Groups planning to use the hotel option are to stay overnight for 3 nights (Check in Thursday Evening – Check out Sunday Morning). Queen double bedded rooms are available to groups. Youth ages 14-18 and still in High School are to be housed separately from Adult Chaperones, unless a Youth is rooming with his/her parents. Refrigerators are available for medical needs upon request.
Parishes will be charged via parish assessment the total cost of each hotel room they utilize. The cost of each hotel room is $205 + 17% tax per night, or a total of $719.55 for three nights (tax included). Please note that parishes are not exempt from hotel occupancy taxes. Parishes/Schools will be charged and assessed in the December Billing Cycle for all charges accrued at NCYC, including the amount of hotel rooms requested for the National Catholic Youth Conference. Individual parish/school groups will assign 1-4 participants to each of the hotel rooms they request.
While parishes will be charged and assessed for the full room cost of each requested hotel room, many parishes charge their individual participants based on the occupancy of each room, or the average occupancy of rooms for their parish group. Please use the information below to understand how the room rate breaks down based on occupancy level:
• 1-Person Occupancy: $719.55 per occupant
• 2-Person Occupancy: $361 per occupant
• 3-Person Occupancy: $239 per occupant
• 4-Person Occupancy: $180.50 per occupant
Overnight accommodations at the JW Marriott are filled on a first come, first served basis. To enable parish groups to better oversee their own group’s housing process, Group Leaders are to reserve their room block directly with the Office of Youth Ministry.
The entire cost of the rooms and any cancellations will be the responsibility of the parish/school once the room request has been submitted to the Office of Youth Ministry. The Archdiocese of Indianapolis will not be responsible for unpaid hotel rooms, additional room charges or any damage to the hotel.
Room Assignments
Parish leaders will submit room assignments to the archdiocese, using a template that will be emailed out to group leaders, and we will submit room lists to the hotel. The hotel will then decide which rooms we will occupy. The hotels adhere to these priorities when determining room locations:
• No teen should be assigned to a room with a door that leads to the parking lot or a courtyard (all doors must empty into the hall).
• No teens will be in a room that is adjoined to a room with adults, teens of the opposite gender, hotel guests that are not from our groups.
• When possible, our teens will be kept to gender-specific floors
• When possible, the members of a group will be kept as close to each other as possible.
Hotel Communications/Requests
It is very important that we have a professional working relationship with the hotel staff. Therefore, we ask that all communication with the hotel go through the Office of Youth Ministry. Any room changes on the day of check-in need to be communicated with the NCYC team so that we know where everyone is at all times. We will communicate those changes with the hotel so that their records are also kept up to date. Any special requests like refrigerators, etc. need to be requested through the NCYC team so that the hotel can provide the best service possible to all of our NCYC participants. Any issues with room maintenance, hotel security, or noise issues can also be addressed by our NCYC team.
We ask that adult leaders for each group complete room checks prior to turning in for the night to make sure all teens are accounted for in their assigned rooms each night of NCYC. However, we want to make sure that all adult leaders are well rested, so we encourage all adult participants be in their rooms by midnight so that they can get a good night’s sleep. The NCYC team will provide hall walkers for the entire night.
Hotel Behavior
All teens are to be in their rooms by midnight each night. Youth of the opposite sex should never be in each other’s rooms at any time.
