DUTIES OF OFFICERS

Chairperson:

• convene and preside at membership, special, and executive meetings  

• ensure that an agenda is prepared and presented

• know the constitution and bylaws and meeting rules

• know where to find resources to assist members  

• appoint committees where authorized to do so by the executive or membership

• consult PAC members regularly

• ensure that the PAC is represented in school and school district activities

• ensure that PAC activities are aimed at achieving the objectives and purposes of the organization

• be the official spokesperson for the organization

• ensures that the rest of the executive fulfills their duties. 

• the Chairperson can delegate an executive member’s duties to another executive member, if deemed necessary

Co-Chair (Year 1 as Vice-Chair):

• Fill in when chair is not available

• Assist with PAC communications

• Signing officer for banking

Secretary:

• ensure that members are notified of meetings

• record the minutes of general, special, and executive meetings. In the Secretary’s absence, another meeting attendee may take minutes.  

• keep an accurate and up-to-date copy of the Constitution and Bylaws and have copies available for members upon request.

• issue and receive correspondence on behalf of the organization safely keep all records of the Council

• ensure there is always a backed up copy of all minutes that is accessible to all executive members.  

Treasurer:

• receive all funds for the Council

• disburse funds authorized by the executive or members

• maintain an accurate record of all expenditures of the Council

• give a report of all receipts and expenditures at all general meetings

• deposit all funds collected on behalf of the Council in an account at a recognized financial institution approved by the PAC

• make books available for viewing by members upon request

• have the books ready for inspection or audit 

• ensure that another signing officer has access to the books in the event of his/her absence

• submit an annual financial statement at the Annual General Meeting of the Council 

• apply for Gaming Commission grant annually

• submit annual report to Gaming Commission 

• ensure there is always a backed up copy of all financial statements that is accessible to all executive members.  

Grant Mentor:

• Host information sessions about Gaming Grant Application Process

• Support application process with individual applicants

• Work with Executive sub-committee to review applications

• Schedule which applications will be voted on during PAC meetings

• Ensure reports are submitted

DPAC/BCCPAC Liaison:

• Attend DPAC Meetings (they are in Courtney/Comox, but also have zoom options)

• Attend BCCPAC Annual Conference

• Receive and stay up to date on DPAC/BCCPAC communications

• Ensure PAC is informed on DPAC/BCCPAC issues through reports at meetings and email updates as necessary

• Possibly connect with other OL schools to explore idea of an OL PAC as our needs are different than Brick and Mortar schools

Communications Officer:

• Regularly update website and social media

• Reach out to locations and parents to increase PAC reach

2023-24 Executive Team

We are so thrilled to have diligently during our last few years to have the beginning of a strong, active PAC that is easy to pass information from one term of Executive Members to the next. We worked from the values of Equity - Accessibility - Transparency, and now our hope to to up-level to: Strengthen - Flourish - Empowered Team (Everyone Successful!).
