This division handles the day-to-day internal support, personnel services, and administrative requirements of the MGSO office.
Core Functions:
Provide administrative support to the Office of the GSO Head, including clerical, secretarial, and communication services.
Coordinate personnel services such as attendance monitoring, leave management, and staff welfare programs.
Manage office supplies, utilities, and logistical support for the smooth operation of the department.
Facilitate meetings, trainings, and capacity-building activities, ensuring proper documentation.
Ensure compliance with government rules, regulations, and office protocols in the execution of administrative tasks.
Assist in budget preparation, financial monitoring, and reporting of office expenditures.
This division oversees the custody, utilization, and disposal of government properties owned by the LGU.
Core Functions:
Conduct regular physical inventory of all LGU properties, plant, and equipment to ensure accountability and accuracy.
Oversee the safekeeping, proper use, and maintenance of all government-owned properties assigned to different offices.
Implement policies on transfer, reassignment, or loan of government property within the LGU.
Process requests for disposal of unserviceable property in accordance with COA and procurement regulations.
Maintain updated property records, ledgers, and accountability forms for tracking of assets.
Coordinate with the Commission on Audit (COA) and other oversight agencies during inspection, validation, and audit of government properties.
This division manages the procurement of goods, services, and supplies necessary for the operations of the LGU, ensuring compliance with government standards and efficiency in delivery.
Core Functions:
Process requests for consumables, tools, materials, equipment, repairs, and contracted works needed by various LGU offices.
Establish and maintain a reliable supplier and vendor database to support efficient procurement activities.
Prepare bid documents and ensure compliance of purchases with government procurement laws and specifications.
Maintain complete and accurate procurement records, purchase orders, and other related documents.
Evaluate supplier performance, review contracts, and recommend corrective or preventive actions.
Provide guidance to offices and staff regarding procurement procedures, timelines, and requirements.
This division is responsible for the systematic handling, safekeeping, and accessibility of LGU records to support efficient operations and accountability.
Core Functions:
Oversee the classification, indexing, and safekeeping of all records to ensure organized and secure storage.
Facilitate the flow and retrieval of records while maintaining confidentiality and data protection.
Maintain both physical and electronic records for easy access, backup, and disaster recovery.
Manage incoming and outgoing correspondence, circulars, and memos from other departments or agencies.
Prepare and safeguard records of internal and external audits for accountability and compliance.
Provide clerical and encoding support to the GSO Head and other divisions, ensuring accurate documentation.
