The "Bookings" tab under "Edit Orders" in Perseus allows you to make changes to existing bookings, update passenger details, modify payments, and manage order-related adjustments. This section is crucial for handling customer requests, correcting errors, and applying necessary modifications efficiently.
BOOKING SUMMARY
HubSpot ID:
This is the deal number in HubSpot. Users can easily go to the deals page in HubSpot by clicking the view button.
Booking ID:
A unique reference number for tracking.
Booking Reference:
This is a unique alphanumeric reference sent by the suppliers.
Room Preference:
Room preference is where users can find the desired room configuration of the guests.
Booking Status – Indicates whether the booking is:
Submitted: Booking has been initially made. Also, there's already a payment however, no completed passenger details yet.
Awaiting Supplier Confirmation: Waiting for the third-party supplier to confirm the booking. This is for Combination and Third-party bookings.
Partially Confirmed: Supplier already confirmed some of the components of the package. This is for Combination and Third-party bookings.
Supplier Confirmed: Third-party supplier confirmed the booking. This is being used for Combination and Third-party booking.
Cancellation Pending: On going cancellation before changing the status to cancelled.
Cancelled: Booking is totally cancelled.
Refunding Pending: Refund is being processed before changing the status to Cancelled.
Pending: Booking has been made however, no payment has been made yet.
Suspended: Booking has been suspended.
Cancellation Reason:
In the event the guest wanted to cancel the tour, always disclose the reason why they are canceling the tour. All possible reasons are listed in this drop-down.
Cancellation Outcome Amount:
This is a new feature that displays the total amount that the guest will be receiving after the cancellation. It could be the whole or partial amount depending on the nature of the cancellation. It can also be in the form of a bank transfer or via credit.
Unrecoverable Cost:
This shows the supplier’s cancellation or change fees. At any time, this cannot be waived and the guests must be informed of these charges.
9. Additional Arrangement:
If the guest wanted to add components to the tour, this is where the agent must place the request. This allows the operations team to easily identify the special request. It can be pre-and post-tour accommodation requests, flight, cabin and rail upgrades, and so on.
10. Product:
This displays the name of the tour for the booking. If there’s any package change request, users can easily search the package in this drop-down and change the tour package for the booking without canceling the totality of the booking. This can only be done if the bookings are with the same supplier and inside the cooling-off period. If the package change request is outside the cooling-off period, standard terms and conditions shall be applied.
11. Departure date:
This shows the date when the tour will be starting. If there’s any date-change request, users can easily select the available dates in this drop-down menu. It also shows the available seats per departure date.
Important Reminder: Any package and date change request outside the cooling-off period requires a change fee per person of $250.00 plus any additional charges that may incur brought by the change. We cannot always guarantee a change request as it is subject to availability.
12. Cooling-Off Period:
The cooling-off period allows the guest to have flexibility in their booking. This gives them time to think if they really wanted to do the tour or not. Any cancellations or changes inside the cooling off-period are allowed without any charges. Note that this is not offered in all of the packages.
13. Flexible Date Change:
This is where users can see if the guest purchased a date change bundle. It indicates how many days before departure the guest is allowed to make a date change. It can also be seen in the Add-ons field. The flexible Date Change bundle allows the guests to request a date change without having to pay the change fee but they still have to pay for the new package price and any additional charger that may incur.
14. Special request:
The special request field is where users can see all the requests from the guests at the time of booking. Any notes from this field are visible on the guest’s account. If they wanted to add some components of the tour that users don’t want the guest to see, put it on the additional arrangements field.
15. Terms and Conditions:
Terms and conditions can change from time to time. Users can access this link to view the Terms and Conditions present at the time of booking. This is very important, especially for canceled bookings.
