Adjusting Payment Methods: PIF to Installment and Vice Versa
within cooling-off period/COP only.
If the passenger booking form HAS been completed.
NOTE 1 :
If the booking has no payment against the booking, and is set to cancel without funds, make a new booking as opposed to following the below UNLESS customer is providing you with immediate CC payment over the phone.
NOTE 2:
If the booking form has NOT been completed and there is a payment on file, please continue to make a new booking and raise a task for finance to transfer the funds to the new booking.
SCENARIO:
A customer purchased a tour package and chose to pay in instalments. The customer changes her mind the next day and requests full payment instead (within cooling off period).
WHAT-TO-DO:
Check if the booking form has been completed.
If not, cancel the booking and make a new one.
If yes, follow the below steps;
Open the booking in Perseus (BE)
* Management Tab
* clear deposit, instalment date, instalment amount
* Edit the Final Payment amount (full payment amount) and Final Payment Due Date (the day that they paid)
Click Save changes
Check invoice
Take payment and ensure the invoice status is on Paid. This is to avoid the booking cancelling.

A customer purchased a tour package and chose to pay in Full. The customer changes her mind the next day and requests to pay in instalments (within cooling off period)
WHAT-TO-DO:
Check if the booking form has been completed.
If not, cancel the booking and make a new one.
If yes, follow the below steps;
Open the deal on the website and view all payment terms.
Open the booking in Perseus (BE)
Management Tab
* Add in all payment terms which reflect the booking as purchased ( rate and due date) Please ensure the rate is TOTAL owed and not PP.
* the final payment amount will auto calculate when you save all the above installments.
Click Save changes
Check invoice
Take payment if no deposit is on file. This is to avoid the booking cancelling and having to be re-booked.
