CS - ADDING PRE/POST TOUR ACCOMMODATION
1. SEARCH FOR THE BOOKING
Go to Perseus and locate the customer's booking.
2. MODIFY ACCOMMODATION DETAILS
Click the "Operations" tab.
Enter the number of nights the customer wants to book.
Adjust the Accommodation Status based on the package type:
Allotment → Booked
Third Party & Combination → On Request
Leave a clear notation in the internal notes in this format:
day/month - changes" (e.g., "08/04 - Added 2 nights")
3. UPDATE PAYMENT DETAILS
Go to the Management tab and check the Final Payment Due Date.
If overdue, update it to today + 2 days.
Phone Call: Process the payment immediately.
Chat/Email: Inform the customer that payment is due right away (email template includes this information).
4. TRIGGER SUPPLIER NOTIFICATION
This action automatically sends an email to the dedicated supplier for processing.
IMPORTANT NOTES
STATUS FOR ALL ALLOTMENT BOOKINGS
Pre and post booking status may be updated to Booked as long as the request is outside 70 days before departure.
A maximum of 3 days extension can be updated to "booked" immediately.
For extensions of 4 days or more, these should be finalized on the naming list confirmation, no later than 60 days before departure.
CHECK AVAILABILITY ON THE WEBSITE
Verify if pre/post accommodation is available for the chosen departure date before proceeding.
SUPPLIER CONFIRMATION
The Operations team will confirm the booking with the supplier within approximately 30 days.
Ensure clients are informed of this timeline.
TRACKING & UPDATES
MEL team will monitor new bookings and update Perseus accordingly.
