Ordering now means you can check school supplies off your list before summer even begins. No scrambling in July. No store runs in August. Just the exact supplies teachers requested, handled in a few simple clicks. It only takes a few minutes to select our school and choose your child’s grade. President
Preside at the General Membership PTO Meetings and Executive Board Meetings
Serve as the official representative of the PTO
Retain all of the official records of the PTO
Communicate through monthly newsletter and any additional forms of communication with the Membership
Attend any county-wide PTA/PTO meetings on behalf of Hollywood Elementary School
Vice President
Oversee the committee system of the PTO
Assist the President as needed
Chair meetings in the absence of the President
Treasurer
Serve as custodian of the PTO's finances
Collect revenue, pay authorized expenses, follow all financial policies of the PTO
Hold all financial records
Share a Treasurer's Report at all General Membership PTO Meetings
Secretary
Record and distribute minutes of all Executive Board meetings and all General Membership PTO Meetings
Prepare agendas for official PTO meetings
Hold historical records for the PTO
Parent Representative This position is appointed by the President and out-going Parent Representative. Designate a back-up when unable to attend.
Attend all General Membership PTO Meetings and Executive Board Meetings
Share pertinent information from the perspective of parents to include requests and/or concerns.
Attend any necessary Board of Education or Commissioner meetings to share requests and/or concerns on behalf of the parents and students at Hollywood Elementary School. These requests/concerns will be discussed at Executive Board Meetings when needed so as to approve the message being conveyed.
Fundraising Coordinator
Plan and execute Spirit Nights (schedule one per quarter at local establishments, scheduled to avoid major events like Boosterthon and Hollydays, schedule to be passed by VP and Principal)
Spirit Wear (runs itself in that we share flyers occasionally and families order at their convenience)
Square1Art (serve as the POC, as Mr. Kneuer takes care of most of this in school)
Spring Grams (in the past we’ve done Smencils, but any goodie that students want to send to a classmate or schoolmate)
Events Coordinator
Plan, execute, and attend Trunk or Treat with designated committee of volunteers (mid to end of October)
Plan, execute, and attend Hollydays with designated committee of volunteers (mid December)
Spring Fling/Dance (work with the school specials teachers, typically in February/March)
Hospitality Coordinator
Plan and execute Monthly Staff Treats with designated committee (purchase or use SignUpGenius, set up treat at school once a month, clean up afterwards)
Plan and execute Teacher Appreciation Week (first week in May: daily treats for teachers during this week, seek donations from local businesses, set up lunch provided by PTO one day, breakfast treats donated by local businesses, raffle prizes, SignUpGenius for one lunch from parents, snack bar, fun activities, etc.)
Staff Appreciation (coordinate card and small gift for specific positions such as Bus Drivers, Building Service Workers [we typically provide lunch for in September], Secretaries, Security Officer, Counselor, AP, principal, Nurse, Food Service Workers)
Community Outreach Coordinator
Plan and execute Winter Break Outreach (communicate with selected families through the school counselor or principal who are in need of hygiene items, household needs like laundry detergent, or gifts for holidays for children who attend HES, considering all children in the home, set up SignUpGenius for a small amount of their needs, collect donated items, wrap if necessary, and deliver/coordinate pick up)
Summer Break Outreach (same as above in late May/early June to provide household supplies for summer or items like sunscreen, pool towels, etc.)
Other situational outreach during the school year as needed directed by the counselor/principal
Yearbook Coordinator
Takes pictures at school events during the school day and after hours/works with committee to designate someone to take pictures
Puts together the yearbook using the online template
Runs checks with Secretary to the Principal to ensure all students are included, names are accurate for each class, etc.
Coordinate with club leaders to ensure all students are included and names are accurate.
Takes pictures of new students in spring who missed individual picture day
Coordinates with the Art Teacher to have students design covers for the yearbook. 5th grade votes on the winning cover. Collect covers and upload them to the yearbook.
Coordinates with counselor and principal on which 5th grades may receive donated yearbooks.
Come into the school during the day and capture the 5th graders favorite memory to record in the yearbook.
Coordinates with 5th grade team to get their message to the 5th grade class and a copy of tshirt template. Coordinate with HES staff and educational support staff to get their message for the yearbook.
Organize and distribute yearbooks to classes.
Concessions Coordinator
Communicates with event sponsor to create a list of items needed and pricing
Creates signage for concessions table with pricing
Runs popcorn machine and keeps inventory of supplies
Runs cotton candy machine and keeps inventory of supplies
Cleans machines at end of event with committee members
Coordinate food trucks for events, if needed.
POC for field day treat (has been Rita’s in the past or an ice truck)
Grade 5 Promotion Coordinator (2 reserved front row seats at promotion for fulfilling all of these duties)
Coordinate with Secretary to the Principal on end of year field trip funding and communicates that with Treasurer
Orders and delivers cupcakes, waters, juice boxes, tablecloths
Helps setup treats and drinks in the morning prior to promotion.
POC for t-shirt company (Wally)
Works with 5th grade teachers to get students to sign the template for the tshirt and collects students sizes for shirts.
Give template to yearbook coordinator prior to mailing to company to make a copy to put in the yearbook.
Organize and distribute shirts when they arrive.
Media Coordinator
Facebook posts multiple times a month to showcase pictures from the parent s’more, upcoming events, staff appreciation (Building Service Workers, Counselor, Secretaries, etc.) and share SMCPS official postings
Consider starting an Instagram or TikTok to reach younger parents
PTO website updates at least monthly
Create flyers for PTO events

The purpose of the Hollywood Elementary School PTO is to enhance and support the educational experience at Hollywood Elementary School, to develop a closer connection between school and home by encouraging parent involvement and communication, and to improve the environment at Hollywood Elementary School through volunteer work, advocacy, and financial support.
