1. Introduction
Gym Tracker Pro ("the App," "we," "us," or "our") is a mobile fitness and workout-tracking application. This Privacy Policy explains what information the App collects, how it is used, stored, and shared, and the choices available to you. By downloading, installing, or using the App, you agree to the practices described in this Privacy Policy and in our Terms of Service.
This Privacy Policy is intended to accurately describe how the App actually works. If you have questions about anything in this document, please contact us using the information in Section 22.
2. Scope
This Privacy Policy applies to the Gym Tracker Pro mobile application and the backend services it connects to, including Google Firebase Authentication, Cloud Firestore, Firebase Remote Config, and Firebase Cloud Functions. It does not apply to third-party websites, apps, or services that may be linked from within the App, including the Google Play Store or the app listings shown under "Our Apps," each of which is governed by its own privacy policy.
3. Information We Collect
3.1 Information You Provide Directly
• Account information: when you sign in with Google Sign-In, we receive and store your Google account's unique identifier (UID), email address, display name, and profile photo URL, as made available to us by Google and Firebase Authentication.
• Profile information: name, gender, height, and weight, entered during Profile Setup or later edited in Settings.
• Workout and fitness data: workout names, notes, exercises performed, sets, reps, weights used, workout dates and times, total training volume, and derived statistics such as personal records and progress trends, created as you use the App's workout-logging features.
• Custom exercises: names, muscle groups, and related details for any exercise you create yourself. Custom exercises are private to your account and are not visible to other users.
• Body measurements: body-weight entries and body measurements (for example chest, waist, arms, shoulders, thighs, calves, and neck), along with any notes you add.
• Workout templates you create for reuse.
• An optional referral code, if you choose to enter one belonging to another user when creating your account.
• Feedback and suggestions: if you use the Feedback & Suggestions feature, we collect the category you select and the text you submit (up to 1,500 characters). Your name, email address, and account identifier are attached automatically from your signed-in session — never typed by you — along with your app version and platform, for troubleshooting. You may submit feedback at most once every 15 days.
3.2 Referral Program Information
If you share your personal referral code, or enter someone else's, our systems record the referral code involved, the referral relationship between the two accounts, the referred account's daily check-in activity (used solely to determine whether the consecutive-day requirement described in our Terms of Service has been met), and the resulting referral status (pending, completed, or rejected).
3.3 Coins / Rewards Ledger
The App maintains a simple in-app "coins" ledger recording when coins were earned (for example, for a daily check-in or your first workout of the day), the date, and the amount. Coins have no monetary value — see Section 10 and our Terms of Service.
3.4 Information Collected Automatically or via Third-Party SDKs
• Advertising: the App uses Google Mobile Ads (AdMob) to show rewarded video advertisements at certain points (see Section 8). Google and its advertising partners may automatically collect and process information such as your device's advertising identifier, general device and app information, IP address, and ad-interaction data, in accordance with their own privacy policies. We do not control, and do not have complete visibility into, everything Google Mobile Ads collects or how it processes that information — see Section 16 for links to Google's own disclosures.
• Google Play Services / Firebase infrastructure: operating system version, device model, app version, and similar diagnostic information may be processed by Google's Firebase and Google Play Services infrastructure as part of operating the underlying services, such as authentication and network requests.
• The App does not currently integrate a separate analytics or crash-reporting SDK, such as Firebase Analytics, Google Analytics, or Crashlytics.
4. How We Use Information
We use the information described above to:
• create and maintain your account;
• provide the App's core functionality (workout tracking, progress statistics, exercise library, templates, measurements, check-ins, coins, and referrals);
• synchronize your data across your sessions and, where applicable, across devices signed into the same account;
• operate the daily check-in, coins, and referral / Ad-Free reward systems;
• process and respond to feedback and suggestions;
• maintain the security and integrity of the App and its backend;
• comply with legal obligations and enforce our Terms of Service; and
• serve rewarded advertisements through Google Mobile Ads.
We do not sell your personal information.
5. Authentication
The App uses Firebase Authentication together with Google Sign-In as its only sign-in method. When you sign in, Google shares your account UID, email address, display name, and profile photo with the App through Firebase Authentication. The App does not currently support account creation with an email and password, or with any other identity provider.
6. Local Storage on Your Device
The App follows a local-first design. Your workouts, exercises (including custom exercises), templates, measurements, body-weight entries, personal records, coin transactions, referral information, ad-related counters, and app preferences are stored in a local database on your device (using the Isar database engine) so that the App works even without an internet connection. This local data is not protected with a device-independent encryption key and is only as secure as your device itself.
7. Cloud Storage and Synchronization
Once you are signed in and your device has an internet connection, most of the data described in Section 3.1 — profile, workouts, templates, check-ins, measurements, body-weight entries, personal records, custom exercises, and your coin transaction ledger — is synchronized to Cloud Firestore, a Google Cloud database, in a part of the database that only your account can access. Synchronization is designed to:
• upload only new or changed ("dirty") records rather than your entire dataset each time;
• occur automatically in the background when a network connection is available;
• retry automatically if a sync attempt fails; and
• allow the App to keep working offline, with pending changes syncing once connectivity returns.
If you reinstall the App or sign in on a new device with the same account, your synced data is restored from Firestore. If you clear the App's local storage without signing out, or if a sync has not yet completed, some very recent local changes may not yet be reflected in the cloud copy of your data.
Your referral status, your Ad-Free entitlement expiry, and your account-deletion schedule are exceptions: these values are written and controlled exclusively by our backend (Firebase Cloud Functions). The App can only read them, never modify them directly.
8. Advertising
The App uses Google Mobile Ads to show rewarded video advertisements:
• Workout Start: up to 3 rewarded ads per day may be shown before a workout starts (fewer or none if you have an active Ad-Free entitlement, if you have already reached the daily limit, or if no ad is available).
• Daily Check-In: watching a rewarded ad is part of completing your daily check-in and earning coins.
If no ad becomes available within a short waiting period, the App lets you proceed without watching one, so a temporary ad-network issue does not block you from training or checking in. Starting a workout specifically requires an internet connection so the App can determine whether an ad should be shown — see our Terms of Service.
Google Mobile Ads and its advertising partners may collect information about your device and app usage to select and measure advertisements, in accordance with their own privacy policies (Section 16). You can review and adjust ad-personalization settings for your device in your device's operating system settings.
9. Referral Program
If you enter a valid referral code when creating a new account, our backend creates a referral record. If the referred account completes daily check-ins on 3 consecutive calendar days, the referral is marked "completed," and for every group of 3 completed referrals, the referring account's Ad-Free entitlement is extended by one month. All referral-validity decisions — new-account eligibility, duplicate-referral prevention, and streak calculation — are made exclusively by our backend, never by the App on your device. See our Terms of Service for the program's full rules.
10. Coins and Rewards
Coins are an in-app, non-monetary engagement feature. They have no cash value, cannot be purchased, and cannot be redeemed, exchanged, transferred to another user, or converted into real-world currency or goods. Your coin balance and transaction history are stored locally and synchronized to your account in Firestore.
11. Feedback and Suggestions
When you submit feedback, we store your category selection, message text, your account's UID, email, and name (drawn automatically from your authenticated session), your app version, platform, submission time, and an internal status field used for our own review. The App does not currently provide a way to view, edit, or delete your own past submissions, and it enforces a minimum 15-day gap between submissions from the same account.
12. Account Deletion
You can request deletion of your account from within the App. When you do:
• your account is immediately marked "pending deletion" on our backend, and a deletion date is scheduled 30 days later;
• your local, on-device data is cleared from the App immediately, and you are signed out;
• your synchronized data in Firestore is not immediately erased — it is retained, inaccessible through normal use of the App, for the 30-day grace period, in case you change your mind;
• if you sign back in during those 30 days, you will be shown a "pending deletion" screen where you can cancel the deletion, which fully restores your account, its synced data, and its active status;
• if you do not cancel within 30 days, our backend automatically and permanently deletes your Firestore data (profile, workouts, templates, check-ins, measurements, coins, custom exercises, and referral records) and your Firebase Authentication account.
We do not guarantee that data is unrecoverable from backups, caches, or logs that Google's underlying infrastructure may retain for a limited period as part of its own standard operational and disaster-recovery practices, beyond our control.
13. Data Retention
We retain your account and associated data for as long as your account remains active, plus the 30-day period described in Section 12 if you request deletion. Locally stored data on your device persists until you sign out, request account deletion, clear the App's storage, or uninstall the App.
14. Data Security
We use Firebase security rules to restrict access to your data on our backend, so that — other than data explicitly controlled by our backend Cloud Functions — only your own authenticated account can read or write it. Referral records, Ad-Free status, and account-deletion scheduling can be written only by our trusted backend functions, never directly by any app installation. That said, no method of transmission or storage is completely secure, and we cannot guarantee the absolute security of your information.
15. Data Sharing and Disclosure
We do not sell your personal information. We share information only:
• with Google, as our infrastructure and service provider, to the extent necessary to operate Firebase Authentication, Cloud Firestore, Firebase Remote Config, Firebase Cloud Functions, and Google Mobile Ads;
• if required to comply with a legal obligation, court order, or governmental request;
• to protect the rights, property, or safety of us, our users, or the public; or
• in connection with a merger, acquisition, or sale of assets, subject to this Policy continuing to apply to your information.
16. Third-Party Services
The App relies on the following third-party services, each governed by its own privacy policy:
• Google Sign-In / Firebase Authentication — https://policies.google.com/privacy
• Firebase (Cloud Firestore, Remote Config, Cloud Functions) — https://firebase.google.com/support/privacy
• Google Mobile Ads (AdMob) — https://policies.google.com/technologies/ads
• Google Play Services — https://policies.google.com/privacy
We encourage you to review these policies. This Policy does not vouch for, and is not a substitute for, any third party's own disclosures about its data practices.
17. International Data Transfers
Because we rely on Google's global cloud infrastructure (Firebase / Google Cloud), your information may be stored or processed in countries other than your own. We have not certified compliance with any specific cross-border data-transfer framework. If this matters for your use of the App, please review Google's own disclosures on international data processing or contact us before using the App.
18. Children's Privacy
Gym Tracker Pro is intended for a general audience of eligible users as described in our Terms of Service and is not directed at young children. We do not knowingly collect personal information from children under the minimum age described in our Terms of Service. If you believe a child has provided us with personal information, please contact us so we can take appropriate action. [CONFIRM: minimum age requirement and whether any additional children's-privacy law, such as COPPA, applies to your intended user base and jurisdictions.]
19. Your Rights and Choices
Depending on your location, you may have rights to access, correct, export, or delete your personal information. You can:
• view and edit most of your profile and fitness data directly within the App;
• delete your account and data using the in-app "Delete Account" flow described in Section 12; and
• request a copy of, a correction to, or deletion of information we hold about you, including feedback submissions, by contacting us using the details in Section 22.
We will respond to verifiable requests within a reasonable time.
20. Fitness and Health Information Disclaimer
Gym Tracker Pro is a fitness- and workout-tracking tool. It is not a medical device, and the App does not provide medical advice, diagnosis, or treatment. Body weight, measurements, and workout statistics you log are for your own personal tracking purposes only. Always consult a qualified healthcare professional before beginning any exercise program or making decisions related to your health.
21. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Effective Date" below and, where appropriate, provide additional notice within the App. Your continued use of the App after changes take effect constitutes your acceptance of the revised Policy.
