How can I engage diverse groups of people amidst complex socioenvironmental change?

Module Overview:

Effective participation requires good facilitation, and good facilitation doesn't end after the initial community mobilisation phase. In Community Environmental Action Planning, participatory methods underlie the entirety of the project lifecycle. To that end, every unit of this Training Package includes a module about facilitation, reviewing participatory approaches to the concepts and tools presented in the unit.

This module provides tips and tricks for running group activities and facilitating discussions, which might be useful at any stage of the CEAP process. Remember that every community, every facilitator, and every meeting are different: No one tool will always be appropriate to every setting. You should familiarise yourself with a range of techniques, and know where to find additional ideas, so you can be prepared to facilitate in a variety of situations and feel confident that you have relevant and fresh approaches.

Facilitation Activities

World Cafe
The World Café is a simple yet powerful conversational process designed to foster collaboration and build connections in a community. Participants move between conversation clusters (caféstyle tables) in successive rounds (usually three), sharing ideas and insights. A “host” remains at each table to share key insights and questions with new participants in each round, and harvest the final results. Often used early in a process, World Café creates the space for individual relationships of trust and transparency to form.

INSTRUCTIONS

Set the Scene
- Set up small tables (places for ~4-6 people) with markers and blank paper for capturing ideas.
- Prepare a whiteboard or other shared writing surface (for use in Step 4: Harvest Insights).
- Coffee/tea is optional.
- Give your group a brief introduction to the World Café format.
Choose a Focus Question
- Present a clear, meaningful question to your group related to the goals or challenges of your project. The question should inspire curiosity and spark thoughtful discussion.
- To encourage Community Mobilisation, potential focus questions could include:
  - What does action-oriented cooperation with other community members look like?
  - Why should communities collectively build environmental resilience initiatives?
  - How can a community come together to meaningfully address social and environmental challenges?
Conversation Rounds (x3)
- Have each table pick a “table host”. The table host will stay behind to summarize the previous rounds' for the new arrivals. This cross-pollination of ideas encourages diverse perspectives.
- Tell each table to discuss the focus question for 15-20 minutes. At the end of the round, all participants (except table hosts) move to new tables and form new groups.
Harvest Insights
- After 3-4 rounds, bring everyone together to share key insights, patterns, and ideas that emerged.
- "Harvest" (i.e., write down) these insights, patterns, and ideas on a whiteboard or digital platform for everyone to see.
Close with Reflection
- Wrap up the session by discussing the info harvested, connections built, and next steps for the project.
- Celebrate the collective wisdom your group produced!

The Circle
The Circle is an ancient form of meeting used to invite participation through thoughtful speaking and deep listening. Participants sit in a circle and follow agreements, practices, and principles designed to cultivate community engagement. This exercise brings focus to the group's purpose, invites each person into an equal role, directs attention to the present moment, and focuses intention on the well-being of the whole group.

INSTRUCTIONS

Arrange the Group
- Ask participants to arrange themselves into a circle. Make sure your space is big enough so that everyone in the Circle can see whoever is speaking.
- Prepare a whiteboard or other shared writing surface.
Set the Tone
- Begin by introducing the purpose of the Circle and explaining the agreements and principles.
- "Ground rules" for discussion could include:
  - Speak with intention and from the heart.
  - Listen with respect and without judgment.
  - Trust the process and share the space equally.
  - Respect the amount of time allotted for the activity when speaking at length.
Open with a Shared Ritual
- Start with a brief grounding activity (such as a moment of silence, a short reading, or a breathwork exercise) to center the group’s energy and bring attention to the present moment.
Select the Talking Piece
- Pick a "talking piece" (i.e., a small, meaningful object) to guide the flow of conversation.
- Only the person holding the talking piece speaks; others listen attentively. This ensures equal participation and thoughtful dialogue.
Introduce a Discussion Topic
- Pose a guiding question or topic for discussion that aligns with the Circle’s purpose.
- To encourage Community Mobilisation, potential guiding questions could include:
  - What does action-oriented cooperation with other community members look like?
  - Why should communities collectively build environmental resilience initiatives?
  - How can a community come together to meaningfully address social and environmental challenges?
Facilitate the Conversation
- Participants take turns sharing their thoughts on the guiding question/topic, passing the talking piece around the Circle.
- Encourage participants to honor the Circle agreements, speak briefly and authentically, and maintain a focus on the group’s well-being.
- Depending on the purpose and time constraints of the activity, you can instruct your group to make multiple rounds around the circle to deepen the conversation or discuss other questions/topics.
Close with Reflection
- Reflect on the Circle’s outcomes and consider how the shared wisdom can guide future actions.
