Special meeting minutes of February 11th, 2018: approved.
Discussion about revised budget with input from Jim Grubbe. More work to be done and questions to be answered before budget can be finalized. Lexann will look into the questions.
Discussion about border fence along property. HOA received a code violation from the county due to condition of fence. The complaint came from the single family home next to us on Due West Road (the Satterfields). Janie to get copy of violation. The next step is to determine who the fence belongs to – the HOA or individual homeowners whose homes back up to the fence.
Janie and Lexann to walk DWC property on Saturday, 2/24 to look for survey markers. If markers cannot be found, HOA will hire surveyor.
HOA will terminate CMA Property Management as soon as a business manager can be hired and other transitions are completed. The goal is to terminate just after April assessments are collected. We must give CMA a 30-day notice.
Business Manager position will be published by Paul. Michelle to get with him. Job description is available.
HOA is considering buying wholesale pinestraw and laying it in common areas this year. We will need resident volunteers. Lexann will contact our insurance carrier to check on HOA liability in case of an injury. If no liability, Janie will contact residents by phone to solicit volunteers and Michelle will reach out via Next Door Neighbor. Pinestraw putdown – Saturday, 3/24 – Rain date, Sunday 3/25.
Discussion about pool opening and closing dates. Pool will be open 101 days from Memorial Day to Labor Day/202 manager hours/$1,725 pay per season. Pool manager position will be published by Paul. Additional discussion about extending season for weekends only through first week of October or through school kids’ fall break. Will need to approve DWC budget before that decision can be made.
Pool furniture bids from Leisure Creations in hand. Kathy Hall will help determine what our needs are. Table till next meeting.
Statements for dues and special assessment have been mailed out. Due dates are different from last year. Some homeowners have inquired why. Board answer is that we have a new property manager which accounts for difference from last year. Residents can apply to CMA for payment plans if they have a hardship and will be considered on a case by case basis.
Next meeting Thursday, 3/15 at 7:00pm at Lexann’s home.
Meeting adjourned at 10pm.
