WHOLE SCHOOL RECORDS AND THEIR PURPOSE
1. CIRCULAR FILE
PURPOSE: The purpose of the circular file is provided information on the Ministry’s policies on various professional, administrative, financial and other related matters. Circulars must be read, signed and dated by each staff member.
2. SCHOOL LOGBOOK
PURPOSE: To record the daily activities that occurs in the school, which includes visits, teachers being absent.
3. STAFF INSTRUCTION BOOK
PURPOSE: is use for making general and specific instruction to the staff or individuals in the school. Instructions must be clear, specific and time bound. Staff members addressed must sign and date the staff instructions book.
4. TEACHERS ATTENDANCE REGISTER
PURPOSE: To record the time of arrival and time of departure of teachers from school in the morning and afternoon of each day-each entry must be made promptly.
5. ABSENCE RETURN
PURPOSE: Record leave of absence from teachers
6. STUDENTS ADMISSION/WITHDRAWAL BOOK
PURPOSE: They provide specific details of new pupils entering a school along with personal details about the pupil and their families and to record if a student is leaving the school for a reason.
7. LIST OF DUTIES
PURPOSE: Reflects all the duties that teachers are expected to carried out in order to achieve its mission and objectives.
8. MINUTES OF MEETING
PURPOSE: Record all issues discussed at staff meetings.
9. MISDEMEANOUR BOOK
PURPOSE: Record wrong doings by students/pupils which warrant disciplinary action by the school administration.
10. SUPERVISORY CHART
PURPOSE: This caters for actual staff and reflects span of control and hierarchy and it also reflects inventorised and non-inventorised positions- Head, Deputy, Seniors, Heads of departments, Temporary unqualified and qualified Masters, Acting teachers.
11. STOCK BOOK
PURPOSE: To record all consumable stock that is received such as chalk, chalkboard, paste, etc.
12. TEXTBOOK INVENTORY
PURPOSE: The textbook feature will enable you to keep track of individual textbooks. This means that the School or Textbook Admin will be easily able to see how many textbooks by type and condition are currently available at each school.
