Regulations Governing the Use and Maintenance of Classroom Records
1. Lesson Plan
A Lesson Plan is taken from units of work listed in the termly Scheme -of-Work.
It is the responsibility of each teacher to prepare his/her Lesson Plans.
This record should be prepared in accordance with the timetable, prior to entering the classroom.
The prescribed format must be used in the preparation of Lesson Plans.
Lesson Plans must be submitted as directed by the school administration for checking and approval before they are used for instruction.
The member of staff who checks the plans must sign and date same. He/she must also state helpful comments, having checked the plans.
Each lesson taught must be evaluate.
2. Record of work (Journal)
There must be a Record-of-Work for each grade (or class within a grade) at the Primary Level, each year Group at the Nursery Level and for each subject at the Secondary Level.
Entries must be precise, concise, in the past tense, and made at the end of each week, topics, subtopics and examples should be included as far as possible.
Subject entries must be legibly initiated by the teacher concerned.
In cases where an examination was administered or revision was done, the areas of focus must be precisely stated.
Heads of Department and Deputy Headteachers should sign the Records-of-Work at the end of each week.
Headteachers must make periodic checks of Records-of-Work.
Separate Records-of-Work are to be kept for the Upper School.
Four (4) sets of Records-of-Work should be kept as follows:
a) 1 Set for Grades7 -9
b) 1 Set for Grades 10-11
c) 1 Set for Grade 12
3. Class Timetable
This is set by the school's administration
Each student/pupil must be in possession of a copy of his/her Class Timetable.
Teaching must be done in accordance with the provisions in the Class Timetable; any variation must be sanctioned by the Headteacher.
4. Pupils’ Attendance Register
The Attendance Registers shall be marked every time the school meets, however small the attendance may be, or even if no pupil is present, marking should begin the first day of the school year and end on the last day thereof.
Unpunctuality should also be indicated "o".
Adequate time for marking the register shall be provided in the timetable, according to the number of pupils on roll.
The maximum time allowed for marking registers is fifteen minutes in the morning and fifteen minutes in the afternoon.
The names of boys shall be entered separately from those of girls in the register. As far as possible, division or class/level registers shall be kept.
When a pupil has been absent from the school for three months without notification of -withdrawal, an entry of the fact shall be made in the withdrawal column of the admission register and in the circumstances the pupils’ name shall not be re-written in the attendance register for the next term.
When a pupil has been withdrawn after notification of withdrawal is given by the parent or guardian in person or in writing, an adjustment shall be made at once in the attendance register by drawing a fine in red ink from the last day the pupil attended to the end of the term.
At the commencement of each term the names of the pupils shall be entered in the register of attendance according to divisions or classes/levels, preserving the same order throughout the year.
When a pupils’ name is placed on the attendance register any time after the commencement date of the term, a line in ink shall be drawn from the name across intervening columns to the column where the first attendance is marked no vacant space is to be left on the register between any two names in the same class/level or division.
The Register must be marked twice daily during the time set apart in the timetable for the purpose.
The same must be done within half-hour of the opening of each session of school. In any case, in which, owing to heavy rains, the attendance is greatly reduced a footnote shall be inserted [and initialed by the teacher] mentioning such rains.
After the register is closed no pupil's attendance is to be recorded.
Presence must be marked with a "/" and absence must be distinctly and clearly marked with an "o”.
There must be no blanks, no alterations, and no erasers; errors must be corrected by footnotes.
If after Registers are marked any pupil other than one at the preparatory levels leaves the school less than two hours after the beginning of the morning session, the mark indicating presence must be cancelled by making the "/" an `X".
The Register must be original and not copied from sheets of paper with the object of keeping the Register clean or for any other reason
Within the first half-hour of each session of the school the number of attendances recorded on each page and the total number made by the whole school; must be entered in the spaces provided on the Register. The number of attendances made by each pupil during the week must be entered every Friday afternoon, or last working session of the week, and the total attendances made by each pupil at the end of each term must be appropriately entered during the first month of the succeeding term.
In the case of nursery schools, the attendance of each child is recorded only once each day in the morning session.
On the occasion of a holiday/non-meeting of school, a line must be drawn down the whole Length of the attendance column for the clay; for longer periods "holidays" must be -written across the column.
5. Class Logbook
CLASS LOG (Nursery, Primary, Secondary)
A Log shall be kept for each class (Nursery and Primary) and Grade (Secondary).
Each Class Log shall contain relevant bio and achievement data of every learner.
Each Log shall also serve as a Class Inventory.
6. Schemes of Work
Termly Scheme-Of Work
This Scheme is prepared by each teacher from material contained in the Annual Scheme-of -Work and any other appropriate documents.
The termly Scheme-of-Work details work to be done in each week of the term.
Every class teacher must prepare his/her termly Schemes-of- Work before the beginning of the term in which it will be used possibly at the end of the preceding term.
Prior to its implementation, the school administration must sign and date the document thereby indicating approval of it for use. The prescribed format must be used in the preparation of termly Schemes-of Work.
7. Report Booklets
This has to be kept by each form teacher.
Report booklets has to be written up at the end of term examination to show student’s progress in relation to their academic performance.
8. Marks Book
This shall be kept by each subject teacher.
Each shall contain achievement data with respect to each student.
Marks books must be examined on a termly basis by Headteacher, Deputy Headteacher or Head of Department.
