1: Planning

Select Documents: Begin by identifying the documents to be digitized. Consider the purpose of digitization—whether for compliance, access, preservation, or operational efficiency—and prioritize accordingly.
Choose Indexing: Indexing can mirror the physical files or the box by name, date, and category. Advanced indexing methods such as barcodes or Optical Character Recognition is available by request.
Choose Archiving: DIME can reassemble your papers and return them to your location or gladly provide public recycling at our local EcoDrop.
Choose Disposal: Where requested, we partner with Interwaste NZ for audited paper shredding and destruction services.

2: Preparation

- Documents are unpacked and organized for processing at our North Beach facility before undergoing a thorough inspection to ensure optimal processing.
- Our team carefully removes any obstructions, such as staples, paperclips, or bindings, that could interfere with the digitization process. Attached notes are removed and scanned in order.
- We conduct light restoration to enhance readability—flattening folded pages, smoothing creases, and repairing ripped binder punch holes to ensue a jam-free scanning process.
- Once prepared, documents are organized in the desired sequence, ensuring a seamless transition from physical to digital format.

3: Scanning

- Your cleaned papers are now fed into our high-speed double-side/single-pass Canon scanners to make light work of your paper archives.
- Whether grayscale, black and white, or full-color scans, we ensure that each document is captured with lazer precision. Compression settings are carefully calibrated to balance file size and quality, guaranteeing efficient cloud storage without compromising readability.
- For documents requiring further refinement, we apply enhancements to straighten and sharpen images so the characters remain crisp and distinct. Your data is optimized using Adobe software to ensure maximum searchability, readability and usability in this platform.

4: Delivery

- Once your documents have been scanned, your digital data is securely stored at our private facility on off-line computers.
- We offer multiple secure delivery methods, including cloud storage, encrypted email transfers, and other trusted file-sharing platforms. Each option is designed to maintain the integrity and accessibility of your records while preventing unauthorized access.
