As we've discussed, 2026 is the year to pause on expansion to refine for new Center growth in 2027.
There will be more focus operationally on our current Centers with our continued efforts focused on our Heroes and on our GPS People Health Score.
This year is about you having more time with your manager. We will be rolling out a new meeting format called RPI - Results, Progress, Issues.
More information in the coming days.
Effective January 1, 2026, all payroll will be processed through ADP.
During the transition period, we will continue using Rippling for time clock punches and time-off requests through the end of January 2026.
Please review the following important instructions carefully:
Do not delete the Rippling app until Human Resources sends a notification confirming that you are clear to do so.
Do clock in and out through Rippling, as well as request time off.
Do not attempt to clock in or clock out in ADP at this time.
Do not submit time-off requests in ADP until HR sends an official update confirming the change.
Human Resources will provide additional communication once the transition from Rippling to ADP for timekeeping and time-off requests is complete.

Accounting - Do’s and Don’t
Airbase
Upload receipts/invoices in Airbase to match charges as quickly as possible; delaying runs the risk of growing to be a big job and receipts get lost.
Add explanatory notes in the purpose/notes box, such as employee names for recognitions, doctor’s offices for professional relations, etc.
Use a virtual credit card for only the vendor it was made for.
Upload receipts for reimbursements; please keep the reimbursements to a very short list rather than a bunch all at once. (It helps with accounting tasks.)
If a reimbursement isn’t going through quickly, please send me a nudge to check on it.
Charge mileage to the office that is benefiting from your travel, not where your home base is.
Enter the purpose of the trip specifically with enough detail to see which office is benefiting, more detail than “office support.” Instead specify the office that is benefiting, such as “Riverside clinical support,” “Tustin office support,” or “Reseda PRM support,” etc.
Sowingo
Keep Sowingo up to date to keep inventory consistent and new orders from ballooning into larger purchases in a given month.
Unpack shipments and enter into Sowingo within a day or two of their arrival. (Many payments are held until they are received in Sowingo, and unpaid invoices can slow down new orders from vendors.)
Follow protocol precisely for requesting new items from Purchasing.

NCOFS is Niguel Coast Oral and Facial Surgery which is our oral and maxillofacial surgery center located inside the Dental Implants GPS Dana Point office.

What's the PTO Policy
PTO/Vacation accrual plan
From an employee’s first day of employment through their 3rd anniversary, vacation is accrued at 1.67 hours per pay period.
> 0-1 years, 1.67 hours are accrued per pay period
> 1-2 years, 1.67 hours are accrued per pay period
> 2-3 years, 1.67 hours are accrued per pay period
Upon completion of the 3rd year of employment, vacation accrual will increase to 3.33 hours per pay period, beginning with the first full pay period following the 3rd anniversary date.
> 3-4years, 3.33 hours are accrued per pay period
> 4-5years, 3.33 hours are accrued per pay period
> 5-6years, 3.33 hours are accrued per pay period
Upon completion of the 6th year of employment, vacation accrual will increase to 5.00 hours per pay period, beginning with the first full pay period following the 6th anniversary date.
Please note that the increased accrual rate does not apply until the applicable anniversary milestone (3 years or 6 years) has been fully completed.

What is the Walk-In Process
When we have a consultation patient Walk-In to the clinic without a set appointment, you should reach out to Holly Nielsen or Liz Roberts in the Contact Center to add the Hero into Salesforce. You can also Chatter @contactcenter in Salesforce.
It is important for the Contact Center to add these patients into the schedule for the Center and not to do it in Open Dental.
The Contact Center will schedule an appointment either right away if you have capacity or another day that works for the Hero.
You can also call the Contact Center using your 8x8 work app with the Patient there with you and let the Patient give their personal information to the agent.
There is a process to do this correctly so please lean on the Contact Center. We have many people standing by ready to help.
